Job Title: Office Admin Support

Project-based: 3 months (Subject for extension)

Job Overview:

We are seeking a highly organized and proactive individual to fill the role of Office Admin Assistant to support Division Heads within One NBG. The successful candidate will play a pivotal role in ensuring the smooth operation of the divisions by providing comprehensive administrative and office management support. The Office Admin/Operations will be responsible for managing calendars, coordinating meetings and performing various administrative tasks to enhance the efficiency of the divisional leadership.

Responsibilities:

1 Calendar Management:

● Efficiently manage and coordinate the calendars of the Division Heads, including scheduling meetings, appointments, and conference calls.

● Prioritize and organize daily schedules to optimize time management.

2 Meeting Coordination:

● Arrange and coordinate meetings, both internal and external, ensuring all necessary resources are available. This includes but is not limited to management meetings, town halls and events

● Prepares agenda, records and prepares minutes of the meeting, as needed

3 Travel Arrangements:

● Organize and coordinate travel arrangements, including flights, accommodations, and transportation, for the Division Heads.

4 Document Management:

● Maintain an organized filing system for documents, reports, and other relevant materials.

● Ensure confidentiality and security of sensitive information.

5 Task Prioritization:

● Assist in prioritizing tasks and deadlines for the Division Heads to ensure efficient

workflow.

● Anticipate needs and proactively address issues before they arise.

6 Project Support:

● Provide support on special projects and initiatives as assigned by the Division Heads.

● Support the implementation of employee events, employee engagement and internal communications activities

● Collaborate with other administrative staff to ensure cohesive support across the

organization.

7 Office Coordination:

● Act as a liaison between the Division Heads and internal/external stakeholders.

● Oversees the processing of centralized expense management operations covering

payment requests and reimbursements

● Coordinate office supplies, equipment maintenance, and other logistical needs.

Qualifications:

Proven experience as an Executive Assistant or in a similar role.

Excellent organizational and time-management skills.

Strong written and verbal communication skills.

Proficient in office software (Microsoft Office, Google Suite).

Ability to handle confidential information with discretion.

Attention to detail and a proactive mindset.

Flexibility and adaptability in a dynamic work environment.

Ability to handle multiple priorities and deadlines

Education and Experience:

Bachelor's degree in business administration, office management, or a related field is preferred.

Previous experience supporting multiple executives or division heads is an advantage. If you
