A. Merchant Onboarding & Relationship Management

·       Serve as the primary liaison between mall management, project development, leasing and merchant from lease execution through store opening.

·       Conduct welcome/orientation/kick-off meetings with merchants to review delivery and fit-out procedures.

·       Provide guidance on mall management and municipal/LGU regulations, design criteria, and required approvals.

·       Provide programme/milestones as a guide to merchant to achieve store opening in accordance with the lease agreement.

B. Construction Coordination

·       Coordinate pre-construction meetings, site access, deliveries, and inspections with the aid of facilities safety team.

·       Conduct Pre-construction meeting with the appointed merchant contractor to review the project programme and agree on deliverables and milestones

·       Monitor merchant construction schedules and milestones.

·       Ensure compliance with base building rules, safety protocols, and operational constraints.

·       Monitor merchant build-out progress and conduct site visits as needed.

C. Delivery Condition Management

·       Confirm the delivery condition of merchant premises meets lease obligations (e.g., white box, bare shell, as is condition, etc.).

·       Prepare and manage mall management's base building work schedule and confirm readiness for handover.

·       Issue possession or commencement notices to merchants as required.

D. Permitting & Compliance

·       Provide guidance on local authority permitting processes and timelines.

·       Coordinate and track merchant submissions for building permits and inspections.

·       Assist in resolving compliance or permitting issues.

E. Handover & Opening

·       Facilitate final inspections and issue final sign-off on merchant premises.

·       Ensure receipt of all required documentation (e.g., certificates of occupancy, as-builts).

·       Coordinate grand opening timelines and marketing support (if applicable).

F. Reporting & Documentation

·       Maintain and update merchant delivery tracker.

·       Provide regular reports to mall management/project management/project lead on merchant progress and risks.

·       Document and archive all approvals, correspondence, and final deliverables.

G. Coordination with Other Stakeholders

·       Interface with mall management's construction, property management, leasing, legal, and marketing teams.

·       Attend project or construction coordination meetings.

·       Collaborate with base building contractors and third-party consultants.

Qualifications

·       Bachelor's degree in Engineering, Architecture, Construction Management, Business Administration, or a related field.

·       Preferably a licensed architect or engineer.

·       Minimum of 3–5 years of experience in tenant coordination, project management, or retail delivery management—preferably in a mall, retail, or real estate development setting.

·       Experience working with contractors, designers, and local government units (LGUs) for permitting and compliance is an advantage.

·       Strong understanding of retail fit-out processes, construction sequencing, and delivery condition requirements.

·       Excellent coordination, communication, and stakeholder management skills.
