Summary

We are looking for a creatively driven digital advertising agency specializing in performance marketing, social media, content creation, and digital strategy. We thrive on collaboration, curiosity, and a passion for delivering impactful results.

We are seeking a seasoned Project Manager to join our Program Management Office (PMO), to partner with the Growth team on new/organic growth initiatives, as well as other high-priority initiatives across the organization.

This role is ideal for someone who excels at bringing structure into a dynamic environment with competing priorities, driving execution, and aligning cross-functional teams within aggressive timelines.

The position requires direct engagement with executive leadership; therefore, excellent communication and a solid understanding of standard project management operating procedures is required.

Key Responsibilities


• Pitch Planning & Timeline Management

o Develop and manage workback plans with key milestones across strategy, creative, media, and

production.

o Ensure all workstreams are aligned and progressing toward final submission or presentation.


• Cross-Functional Coordination

o Facilitate collaboration across account, strategy, creative, media, production, analytics, HR and

finance teams.

o Coordinate essential internal meetings and tasks, such as planning sessions, kickoffs, creative/media reviews, staffing discussions, team check-ins, and proof and studio coordination.


• Resource & Capacity Planning

o Assess team bandwidth and secure necessary resources, including freelancers or external partners.

o Identify resourcing gaps and recommend solutions to ensure continuity.

o Coordinate and communicate the staffing of shared resources to PMO.

o Coordinate and schedule OT for Proofreading and Studio teams, as needed.


• Executive & Stakeholder Engagement

o Coordinate reviews and approvals with senior leadership and core team members.

o Schedule and facilitate dry runs as needed to prepare executive presentations.


• Risk & Issue Management

o Proactively identify risks such as timeline slippage and (?) scope creep and escalate appropriately.

o Troubleshoot blockers and maintain progress under tight deadlines.


• Client-Presentation Readiness

o Ensure all client-facing materials are proofread, formatted, and presentation-ready.

o Organize pitch rehearsals and support post-pitch debriefs and feedback loops.


• Process Optimization

o Capture learnings and contribute to refining pitch workflows, tools, and templates for future use.


• Documentation & Reporting

o Maintain meeting notes, creative files, timelines, staffing plans, and final submissions.

o Provide regular status updates to the VP, Program Management, and other executive stakeholders.

o Support additional strategic initiatives across the organization, as prioritized by key executive

stakeholders, following PMO standard operating procedures.


• Performance Metrics

o Success in this role is measured by timely delivery of pitch materials, internal stakeholder

satisfaction, process efficiency, and contribution to new business wins.

Academic/Educational Requirements


• Bachelor's degree in project management, marketing, communications, business, or a related field.


• At least 7 years of experience in project coordination, account management, or digital marketing.

Required Skills


• 7+ years of project management experience, preferably in advertising, sales, marketing, or business development


• Familiarity with digital marketing concepts and platforms (e.g., creative, social media, paid media, SEO)


• Proven success managing complex, cross-functional projects with senior stakeholders


• Able to manage multiple projects in a fast-paced, deadline-driven environment with the ability to prioritize multiple projects with often competing priorities.


• Strong organizational, analytical, and communication skills


• Experience working remotely and across time zones; must be available during PST hours

Preferred Skills


• Comfortable with ambiguity and skilled at creating structure


• Strategic thinker with a bias for action


• Collaborative, proactive, and solutions-oriented


• Familiarity with Agile or Scrum methodologies


• Experience working in a creative agency or similar fast-paced environment


• Understanding of digital advertising channels, including paid social, display, search, and programmatic


• Familiarity with design production software and tools (i.e. Figma, InDesign, etc.,)


• Exposure to photo/video shoots and content production


• Ability to analyze campaign performance data and contribute to reporting


• Experience with SmartSheet, a plus


• Experience with proofreading tools (i.e. Ziflow)


• Experience working with remote or distributed teams


• PMP or equivalent certification is a plus


• Experience managing RFPs or exposure to the business development lifecycle
