Job Overview

We are seeking a highly skilled and trustworthy Executive Assistant with a strong background in legal or paralegal work to provide direct support to the Owner of the company. This role requires not only traditional EA responsibilities but also the ability to advise on legal and compliance matters, oversee company operations in the Owner's absence, and coordinate effectively with department heads to ensure business continuity.

The ideal candidate will be proactive, detail-oriented, and capable of handling sensitive and confidential information with discretion.

Key Responsibilities

Executive Support

  • Manage the Owner's calendar, schedule meetings, and coordinate travel and personal arrangements.
  • Prepare reports, presentations, correspondence, and legal documents as needed.
  • Handle highly confidential information with absolute discretion.

Legal & Compliance

  • Review contracts, agreements, and legal documents, and provide preliminary legal insights.
  • Liaise with external lawyers, government agencies, and other stakeholders on legal matters.
  • Monitor compliance with company policies and applicable regulations.

Company Oversight

  • Act as the Owner's representative when he is unavailable.
  • Follow up with department heads to monitor progress on tasks, projects, and company priorities.
  • Provide the Owner with regular updates, reports, and recommendations.

Communication & Coordination

  • Serve as the central point of contact between the Owner and internal/external stakeholders.
  • Draft and review internal memos, announcements, and communications.
  • Ensure that directives from the Owner are clearly communicated and implemented across departments.

Qualifications

  • Bachelor's degree in law, Legal Management, Business Administration, or related field.
  • Minimum of 2–5 years of experience as an Executive Assistant, Paralegal, or in a similar role.
  • Strong knowledge of legal procedures, contracts, and compliance requirements.
  • Excellent organizational, communication, and leadership skills.
  • High level of integrity, discretion, and ability to manage sensitive information.
  • Strong problem-solving and decision-making skills.
  • Ability to multitask and work independently with minimal supervision.
