
General Services Administrative Head

Job Purpose:
To oversee and optimize administrative services, facilities management, and executive support functions, ensuring operational efficiency, compliance, and seamless coordination across departments. This role plays a vital part in maintaining workplace standards, supporting company executives, and enhancing overall business continuity.
Job Summary:
Oversees administrative operations, facilities management, preventive maintenance, vehicle fleet, waste management, and executive office support. This role ensures workplace efficiency, compliance, and seamless executive assistance by coordinating with service providers and relevant departments.
Key Responsibilities:
- Fixed Assets Management – Track, tag, maintain database, and monitor all company assets.
- Communication & Records Management – Handle telephone bills, permits, licenses, compliance, and safekeeping of legal documents.
- Housekeeping & General Services – Oversee office cleaning, sanitation, pest control, office setups/relocations, and pantry/restroom maintenance.
- Waste Management – Manage accreditation, contracts, and compliance for garbage hauling and environmental regulations.
- Preventive Maintenance – Oversee maintenance schedules and service providers for aircon units, generators, and key equipment.
- Vehicle Fleet Management – Ensure preventive maintenance, registration, insurance, and compliance of company-owned vehicles.
- Rummage & Scrap Disposal – Coordinate assessment, sale, and documentation of scrap and rummage items.
- Construction & Facilities – Supervise contractor accreditation, purchase orders, payments, and CAPEX monitoring for projects.
- Executive Office Support – Provide direct assistance to executives (calendar, travel, correspondence, reports), manage executive assistants, and ensure confidentiality.
- Manpower Planning & Compliance – Supervise staff schedules, training, appraisals, compliance with company policies, health and safety, and resolve team conflicts.
QUALIFICATIONS AND REQUIREMENTS
Education and Experience:
- Bachelor's degree in Business Administration or Office Management
- Minimum of 5 years of experience in administrative services, facilities management, or executive office support.
- Prior experience in a supervisory or managerial capacity is strongly preferred.
