Job Summary:

Responsible for overseeing and monitoring the clinic and wellness medicines, as well as other related supplies, ensuring they are available for use by employees and dependents. To provide accurate and efficient administrative support for MICT-Clinic requirements, processes, and guidelines.

Job Description:

Ensures Availability of Medical Clinic Medicines and Supplies

  • Regularly monitors stock levels and coordinates with Global Procurement to ensure uninterrupted availability of necessary medicines and medical supplies in the clinic.
  • Manages the clinic's inventory system, ensuring accurate tracking of all medicines and supplies, and overseeing the timely reordering of stock. Identifies any shortages or overstock and takes corrective actions to balance inventory.
  • Conducts routine audits and reconciliations to ensure inventory records are correct and up to date.

Assist the Occupational Health Nurses (OH Nurses) with Prescribed Medications

  • Ensure proper identification of prescribed medications, interprets physician's orders, and verifies medication accuracy.
  • Assists in the accurate dispensing of prescribed medications to employees and ensures patient safety protocols are followed.

Facilitate the Preparation of Purchase Requests (PR) for Clinic Medicines and Supplies, Vaccines, APE (Annual Physical Exam), and Other Essential Clinic Resources

  • Coordinate and oversee the timely and accurate preparation of Purchase Requests (PR) for all required clinic medicines, medical supplies, vaccines, APE-related items, and other essential clinic materials.
  • Collaborate with healthcare teams to assess clinic needs and ensure that requests align with operational requirements, ensuring proper documentation and approval processes are followed.
  • Work closely with the Global Procurement Team to ensure efficient sourcing, timely delivery, and cost-effectiveness of all ordered supplies.

Manage HMO Transactions and Maintain HMO Masterfile Accuracy

  • Oversee the end-to-end process of HMO transactions, ensuring smooth handling of claims, approvals, and reimbursements while resolving any discrepancies to avoid delays and ensure continuous employee coverage.
  • Regularly update the HMO Masterfile with accurate employee and dependent health plan information, including upgrades and amendments, to ensure timely access to health care benefits.

Facilitate the Preparation of eRequest for Payment (eRFP) for Clinic Management, HMO, and Other Providers

  • Prepares Request for Payment (RFP) for clinic management services, HMO providers, and other related suppliers based on clinic activities and needs.
  • Maintain an organized and up-to-date list of eRFPs for tracking purposes, providing a clear and future-ready reference to monitor progress and follow-up on pending approvals and payments.

Support Clinic Activities Organized by the Health & Wellness Superintendent

  • Assist with clinic operations, including wellness initiatives, health assessments, and random drug testing, ensuring efficient planning, coordination, and implementation.

Process Fitness Center Memberships and Oversee Gym Operations

  • Handle new and renewal memberships, maintaining accurate records of payments.
  • Oversees day-to-day operations of the fitness center, ensuring it is clean, well-maintained, and providing a positive experience for all members.

Job Requirements:

  • Graduate of Human Resource or Psychology
  • Atleast 1-2 years work related experience in Healthcare administrative role
  • Skilled in preparing reports for HR and Health & Wellness teams.
  • Willing to work in a weekend/ sunday, duty (with weekdays off)
  • Willing to work in Port Area, Manila
