Position: Executive & Marketing Operations Assistant
Location: Philippines, 40 hours/week, Remote – U.S. Central Time Hours
Salary: Competitive hourly rate ($7–$8.00/hr, based on experience)
Overview
Join a fast-growing U.S. real estate investment and brokerage firm as an Executive & Marketing Operations Assistant.
You'll be a key partner to the Founder, managing executive support, marketing initiatives, and operational processes. This is a high-impact, strategic role for someone who is organized, proactive, and thrives on balancing business, marketing, and client-facing responsibilities.
What You'll Do
Executive Support & Communication
- Manage calendars, meetings, and appointments with precision
- Draft, edit, and send professional emails to clients, investors, and partners
- Prepare and maintain contracts, checklists, and transaction documentation
- Track investor/client paperwork and ensure accuracy and organization
- Review call transcripts and create actionable follow-ups
- Assist with travel arrangements and conference scheduling
Marketing & Branding
- Create, edit, and schedule content for LinkedIn, Facebook, and other social channels
- Design marketing and investor materials in Canva or Adobe
- Support email campaigns and newsletters with professional formatting
- Maintain consistent branding across all materials
- Assist with marketing campaigns, investor presentations, and promotional efforts
Operations & Admin Support
- Keep CRM (HighLevel) and trackers updated with accurate data
- Maintain organized digital files of contracts, reports, and investor documents
- Build and maintain checklists, workflows, and SOPs in Notion/ClickUp
- Support research, property analysis, and reporting as needed
What We're Looking For
- 3+ years supporting U.S.-based executives, ideally in real estate, investment, or professional services
- Strong written and spoken English communication skills
- Highly organized, reliable, and detail-oriented
- Proficiency in Canva (Adobe Suite a plus)
- Comfortable using CRM and project management tools (HighLevel, Notion, ClickUp)
- Able to work reliably during U.S. Central Time business hours
Nice-to-Have / Bonus Skills
- Real estate or investment transaction coordination experience
- Financial tracking, reporting, or dashboard creation in Excel/Google Sheets
- Experience drafting or editing contracts, leases, or investor documents
- Understanding of content planning, brand marketing, or campaign execution
