Summary:

The Administrative Assistant provides clerical and financial support to the department by

handling billing processes, purchase requests and accurate record maintenance. The role

ensures smooth coordination between internal teams, vendors and finance while keeping

documentation organized and compliant with company policies.

Key Responsibilities:


• Process vendor billings, invoices and supporting documents for payment.


• Prepare and route Purchase Requests (PR) and monitor approval status.


• Maintain accurate and organized records of contracts, billings, purchase orders

and other documents.


• Track and update databases, logs and filing systems (both electronic and physical).


• Coordinate with Finance, Procurement and other departments to ensure timely

processing of requests.


• Monitor budget utilization and provide updates to the manager when needed.


• Assist in the preparation of reports, summaries and presentations.


• Respond to inquiries from vendors and internal teams regarding billing or PR

status.


• Support day-to-day administrative tasks such as correspondence, scheduling and

office supply monitoring.


• Perform other related duties that may be assigned from time to time.

Qualifications:


• Bachelor's degree in any field


• At least 1–2 years of experience in administrative, procurement or accounting

support.


• Familiarity with billing processes, PR/PO workflows and document management.


• Proficiency in MS Office (Excel, Word, PowerPoint) and record-keeping tools.


• Strong organizational skills and attention to detail.


• Good communication and coordination skills.
