Junior Accounting Officer – Accounts Receivable & Payable is responsible for managing and maintaining accurate financial records relating to both incoming and outgoing payments. The role ensures that customer invoices are issued and collected promptly, supplier payments are processed accurately and on time, and all related accounting entries are properly recorded in accordance with company policies and accounting standards.

Accounts Receivable (AR):

  • Prepare, issue, and record customer invoices accurately and on schedule.
  • Track accounts receivable balances and ensure timely collection of outstanding amounts.
  • Record customer receipts and reconcile payments in the accounting system.
  • Prepare AR aging reports and monitor overdue accounts for follow-up.
  • Coordinate with Sales and Customer Service teams to resolve billing disputes.
  • Support month-end closing and reconciliation of AR sub-ledger to the general ledger.
  • Maintain up-to-date and accurate customer records.

Accounts Payable (AP):

  • Receive, verify, and process supplier invoices in a timely manner.
  • Match invoices with purchase orders and delivery receipts.
  • Prepare payment vouchers and ensure proper approval before disbursement.
  • Schedule and process payments via check, bank transfer, or other approved methods.
  • Reconcile supplier statements and resolve discrepancies.
  • Maintain an updated list of vendors and ensure compliance with company payment terms.
  • Assist in monitoring cash outflows and preparing cash flow forecasts.

General Accounting Support:

  • Assist with monthly, quarterly, and annual closing activities.
  • Support preparation of financial statements and audit schedules.
  • Maintain organized and complete accounting records for AR and AP.
  • Ensure compliance with internal controls, accounting policies, and tax regulations.
  • Assist in process improvement initiatives to enhance efficiency and accuracy in AR/AP operations.

Qualifications and Skills:

  • Bachelor's degree in Accounting, Finance, or a related field.
  • Minimum of 2–5 years of experience in accounting, preferably with both AR and AP exposure.
  • Experience in food industry is highly advantage
  • Solid understanding of accounting principles and financial processes.
  • Proficiency in accounting software (e.g., SAP, Oracle, QuickBooks, NetSuite, or similar) and MS Excel.
  • High attention to detail and accuracy.
  • Strong organizational and multitasking skills.
  • Good communication and interpersonal skills for coordination with clients and vendors.
  • Ability to work independently and meet deadlines.

Key Performance Indicators (KPIs):

  • Accounts Receivable: Days Sales Outstanding (DSO), collection rate, accuracy of billing and receipts.
  • Accounts Payable: Payment timeliness, compliance with payment terms, accuracy of invoice processing.
  • Overall: Accuracy of financial records, on-time month-end closing, audit compliance.
