Your Responsibilities
The Virtual Assistant will provide comprehensive administrative and operational support across various business functions. This role requires a proactive, organized, and tech-savvy individual who can manage multiple tasks efficiently while maintaining a high level of professionalism. Training will be provided for specialized tasks, and experience with tools such as Shopify or Xero will be considered an advantage.
CRM & Sales Operations , Orderspace, Shopify, HubSpot or equivalent)
Create centralised knowledge hub for both brands to make information management easier
Research and suggest most suitable platforms
Customer Service + Account Support(Email, Shopify inbox, Gorgias)
Respond to standard customer service queries (shipping, subscription changes, FAQs) and manage refunds
Monitor Trustpilot + Google reviews and respond using tone guidelines
Escalate complaints requiring management sign-off
Ecommerce & Subscription Admin
Work directly with our marketing manager to help with admin support (basic shopifiy changes
Ensure product and pricing is accurate
Produce weekly performance reports
Supplier, Logistics & Fulfilment Coordination
Chase delivery confirmations and POs
Update stock tracking sheets weekly
Flag reorder points for packaging, labels, coffee bags
Finance & Admin Support(Light-touch, non-financial decision duties)
Export reports from Xero, Shopify, POS, Stripe, Recharge
Match purchase orders to invoices before approval
Maintain payable and receivable tracking sheets
Schedule recurring invoice reminders to customers
Add receipts and basic coding (under supervision) in Xero
Track overdue wholesale payments and prepare reminder emails
Research & Business Development Support
Research competitor pricing, packaging, new café openings, buyer contacts, distributors
Assist with any presentation preparation (Sales decks, competitor reviews, impact reports using Canva)
Assist with tender applications by gathering standard documents (impact report, insurance, product specs, testimonials)
Research global market viability for expansion projects
Benchmark fulfilment providers and run cost comparisons
Document Management & Systems Upkeep
Version control pitch decks, sales packs, supplier agreements
Maintain folders by date/category and archive outdated files
Keep SOPs updated for operations, customer service, fulfilment, wholesale onboarding
Prepare and format board reports and investor updates from supplied data
Calendar, Personal Efficiency & Meeting Support
Manage investor, partner, and internal meeting scheduling
Prepare agendas, summaries, and action lists
Follow up with stakeholders to check progress
Special Projects & Founder Support
Support launch plans for new brands/products
Research tools and automation improvements
Assist with recruitment coordination (screening, scheduling interviews, reference checks)
Maintain NDA, contract template library
