Executive Assistant

Support the leadership team by managing calendars, correspondence, and critical projects. You'll be working closely with executives, handling sensitive information, and ensuring that day-to-day operations run smoothly and efficiently. AI tools will be leveraged to streamline communication, scheduling, and task management, enabling you to work with speed and accuracy.

Php 15,000 - Php 35,000 | Part-Time to Full Time | Entry to Mid Level | Remote | Eastern and Pacific Time


Key Responsibilities:

  1. Manage executive calendars, schedule meetings, and prioritize daily tasks.
  2. Coordinate travel arrangements, expense reports, and logistics for the leadership team.
  3. Draft and respond to communications on behalf of the executives.
  4. Organize and maintain internal systems for documents, reports, and records.
  5. Help manage key projects by tracking progress, ensuring deadlines are met, and following up with teams.
  6. Act as a liaison between the executive team and other departments, facilitating smooth communication.
  7. Use AI tools to automate scheduling, create reminders, and generate reports.
  8. Organize company events, internal meetings, and team activities.
  9. Prepare materials for meetings, including agendas, reports, and presentations.
  10. Assist in streamlining operations and improving internal processes.

Requirements:

  1. 2 to 4+ years of experience as an Executive Assistant or in a similar support role.
  2. Exceptional organizational, communication, and time management skills.
  3. Ability to handle confidential information with discretion.
  4. Advanced proficiency with Google Workspace, Microsoft Office, and project management tools (Trello, Asana, etc.).
  5. Strong written and verbal communication skills.
  6. Proven experience with AI tools for scheduling, project management, and communication (e.g., calendar automation, email management, task tracking).
  7. Ability to work independently and prioritize tasks in a fast-paced environment.
  8. Strong attention to detail and ability to adapt to changing priorities.
  9. Experience in a remote work environment and the ability to thrive in a virtual setting.
