Key Responsibilities:
- Sales Documentation & Processing
- Prepare, check, and process sales documents such as Sales Orders, Vehicle Sales Invoices, Purchase Orders, Delivery Receipts, and other related paperwork.
- Monitor completion of customer requirements (IDs, insurance, LTO registration, financing documents, etc.) before vehicle release.
- Encode and update sales data in the dealership management system or CRM.
- Coordination & Communication
- Coordinate with Sales Executives, Finance, Accounting, and Service Departments to ensure timely completion of transactions.
- Follow up on vehicle availability, allocation, and delivery schedules.
- Assist in communication with banks, insurance companies, and clients for sales-related concerns.
- Reporting & Monitoring
- Maintain and update sales reports, inventory status, and unit releases.
- Track pending transactions, balances, and documentation requirements.
- Prepare daily, weekly, and monthly sales summaries for management review.
- Customer Service
- Provide assistance to walk-in customers regarding unit availability, quotation requests, and sales status updates.
- Ensure smooth coordination during vehicle release and turnover.
- Other Duties
- Safekeep and file sales documents properly for audit and record-keeping.
- Perform other tasks assigned by the Sales Manager or Management related to dealership operations.
Qualifications:
- Bachelor's degree in Business Administration, Marketing, or related field.
- At least 1–2 years of experience in automotive sales administration or related field.
- Strong attention to detail and accuracy in documentation.
- Proficient in Microsoft Office (Excel, Word, Outlook).
- Excellent communication, coordination, and multitasking skills.
- Knowledge of automotive sales processes and documentation is an advantage.
