Job Title: Job Scheduler / Administration Assistant
About the Role
We are seeking a highly organized and detail-oriented Job Scheduler to join our team. In this role, you will be responsible for scheduling and coordinating service jobs using ServiceM8, ensuring smooth workflow between technicians and customers. You will also support the business with light bookkeeping duties, primarily focused on entering receipts and expenses into Xero.
This role is ideal for someone who thrives on keeping things organized, enjoys problem-solving, and has a keen eye for accuracy.
Key Responsibilities
- Schedule and manage service jobs using ServiceM8.
- Allocate work to technicians and ensure efficient use of resources.
- Communicate with customers to confirm bookings, changes, or updates.
- Track job progress and follow up on outstanding tasks.
- Enter receipts, invoices, and expenses into Xero accurately.
- Perform daily invoicing for completed jobs.
- Maintain organized digital records of jobs and financial entries.
- Assist with other administrative tasks.
Skills & Experience
- Experience with ServiceM8 or similar job scheduling software.
- Familiarity with Xero or similar bookkeeping software.
- Strong organizational and time management skills.
- Excellent communication and customer service abilities.
- High attention to detail and accuracy.
- Ability to work independently and manage multiple priorities.
- Minimum 1 year of experience working with Australian or US clients.
Work Environment
- Full-time role, aligned to Australian business hours
- You will work in close collaboration with the business owner and team
- Long-term opportunity with room to grow into more responsibility
- Hybrid work arrangement available (mix of remote and in-office work).
