Business Systems Analyst

The Business Systems Analyst shall provide assistance to the Management Services Department (MSD) Officer in the following key result areas: (1) Operations research and analysis; (2) Business process improvement; (3) Dissemination of policies, systems and procedures; (4) Monitoring of the implementation of policies, systems and procedures.

DUTIES AND RESPONSIBILITIES:

Operations Research and Analysis

• Assist the MSD Officer in planning and organizing internal research and analysis work on organizational structure, key functions, information and workflow, existing work standards and policies, systems and procedures.
• Conduct external research and analysis work necessary in benchmarking together with the MSD Officer.

Business Process Improvement

• Write policies, proposed systems and procedures manual subject for review by the MSD Officer.
• Attend meetings and discussions together with the MSD Manager, MSD Officer and other functional heads to ensure that proposed policies, systems and procedures are comprehensive, feasible and acceptable to top management and affected functional groups.
• Conduct localized test runs and collect feedback from affected personnel for the purpose of fine-tuning and validating the feasibility of proposed policies, systems and procedures, in consultation with the MSD Officer.
• Collate and bind all policies, systems and procedures manuals that are for release to affected personnel.

Dissemination of New Policies, System and Procedures

• Assist the MSD Officer in the preparation of orientation and training programs intended to disseminate existing policies, systems and procedures.
• Arrange the presentation materials and equipment necessary for the orientations and trainings conducted by the department.
• Schedule and conduct orientation and training on existing policies, systems and procedures for affected personnel together with the MSD Manager and the MSD Officer.
• Provide support and guidance to all users on new or existing policies, systems and procedures.
• Prepare the distribution list of all policies, systems and procedure manuals in consultation with the MSD Officer.
• Release the manuals to the intended recipients for the implementation of the approved policies, systems and procedures.

Monitoring of Implementation of Business Process Improvements

• Assist the MSD Officer in monitoring the actual implementation of approved policies, systems and procedures by affected functional units.
• Collect feedback from affected personnel on the actual implementation of new and existing policies, systems and procedures to identify areas where further training and/or system improvement are required and report this accordingly to the MSD Officer.
• Conduct follow-up trainings and orientations to ensure the proper implementation of approved policies, systems and procedures.

Other Responsibilities

• Ensure that the venue and the materials/equipment needed for the meetings scheduled by the MSD Manager or MSD Officer are available.
• Schedule meetings and follow up attendees for the said meeting(s) initiated by the MSD Manager or the MSD Officer.
• Check the results of the written exercises given to the affected personnel during trainings and orientations conducted by the department.
• Maintain and update the following database files in the computer for recording and monitoring purposes
• Monitor and record the proper turn-over of the manuals in case of personnel movements (i.e. new hire, transfer, resignation, promotion) in the manuals database.
• Maintain and properly keep all the policies, systems and procedures manuals and other documents containing confidential information.
• Organize and file all correspondences released and received by the department.

QUALIFICATIONS

• Graduate of Industrial Engineering or Industrial Management Engineering
• At least 1 year experience in methods or systems analysis in a service-oriented firm
• Preferably with exposure in business process reengineering
• Knowledge of retailing and distribution operation
• Experience in business process analysis and engineering
• Expertise in writing and flowcharting systems and procedures
• Excellent oral and written communication skills
• Detail oriented and organized; good team player
• Proficient in the use of MS Office (Microsoft Word, Excel, Powerpoint, Visio)
• Willing to undergo a 1-year project-based contract
