Senior Executive Assistant

We are seeking a top-tier, highly organized, and detail-oriented Senior Executive Assistant to provide comprehensive executive, legal, and accounting support to senior management. The ideal candidate is fluent in excellent English, demonstrates a high level of professionalism and discretion, and has a proven track record supporting executives, law firms, or finance teams in fast-paced, confidential environments.
This role combines executive administrative excellence with specialized knowledge in legal documentation, compliance coordination, and financial management.
Key Responsibilities:
Executive & Administrative Support
- Manage executive calendars, appointments, and scheduling across multiple time zones.
- Handle confidential correspondence, reports, and presentations with discretion.
- Serve as the primary point of contact between executives, clients, and internal teams.
- Prepare meeting agendas, minutes, and follow-ups for internal and client meetings.
- Assist with project coordination, reporting, and task prioritization.
Legal Administrative Support
- Draft, edit, and proofread legal correspondence, contracts, and compliance documentation.
- Coordinate with legal counsel on filings, agreements, and due diligence materials.
- Maintain organized digital records of contracts, NDAs, and other legal documents.
- Research legal information or case references as requested.
- Support in tracking key legal deadlines and compliance requirements.
Accounting & Financial Support
- Assist with bookkeeping, data entry, and reconciliations using accounting software (e.g., QuickBooks, Xero, or NetSuite).
- Prepare and maintain invoices, receipts, and expense reports.
- Support in basic tax preparation, financial reporting, and budget tracking.
- Liaise with accountants and finance teams for monthly or quarterly reporting.
- Maintain accuracy and confidentiality of financial records.
Qualifications
- Bachelor's degree in business administration, Accounting, Legal Management, or related field.
- 5+ years of experience as an Executive Assistant, preferably supporting C-level executives, legal professionals, or finance departments.
- Strong understanding of legal documentation, compliance processes, and accounting workflows.
- Advanced proficiency in Google Workspace / Microsoft 365, QuickBooks / Xero, and CRM systems.
- Exceptional communication skills — both written and verbal — in native or near-native English.
- Highly organized, proactive, and able to work independently with minimal supervision.
- Strong attention to detail, confidentiality, and professional integrity.
Preferred Skills
- Experience with international business operations or multinational clients.
- Familiarity with contract lifecycle management tools.
- Background in tax filing and regulatory compliance (Philippines, US, or UK preferred).
- Ability to manage multiple executives or departments simultaneously.
