Administrative Support/Virtual Assistant

Job Summary
The Back-Office Support 3 is responsible to provide comprehensive support to the Bridal Opportunities team. The role encompasses a range of responsibilities, including sponsor coordination, processing sponsor program forms, scheduling performances, virtual assistant duties, updating sponsor information in the database, filing system development, and project management. The ideal candidate will possess a combination of intelligence, problem-solving ability, professionalism, and interpersonal skills.
Job Description
• Process and coordinate details, ensuring seamless execution and sponsor satisfaction.
• Organize program forms and sponsor logo's optimizing efficiency and productivity.
• Follow-up with sales team and sponsors when necessary, facilitating effective communication and relationship management.
• Develop and maintain a systematic filing system, ensuring easy retrieval of essential documents and information.
• Handle multiple projects simultaneously, demonstrating strong prioritization and time management skills.
Required Qualifications
• Demonstrated experience in administrative or assistant roles, showcasing competence and reliability.
• Knowledge of standard office equipment operation, clerical and administrative procedures, filing, record-keeping, data reporting, and analysis.
• Familiarity with office management systems and procedures, ensuring smooth operations.
• Ability to manage time effectively with the ability to prioritize tasks effectively in a fast-paced environment.
• Meticulous attention to detail and strong problem-solving skills, ensuring accuracy and quality in all tasks.
• Clear and coherent in both written and verbal communication skills, facilitating effective communication.
• Strong organizational and planning skills, enabling efficient task execution and project management.
• Strong proficiency in Microsoft Excel, Outlook, and Word, along with the flexibility to adapt to new software and tools.
• Basic knowledge of MS Excel, including basic calculations/formulas and creating spreadsheet tables for tracking purposes.
• Flexibility and openness to taking on new projects and tasks, thriving in an ever-changing and growing company environment.
Screening Criteria
• Bachelor's degree or an equivalent combination of education and related work experience.
• At least two (2) years of experience as an Executive Assistant, Admin, or Virtual Assistant.
• Must have a stable employment history.
Desired Qualifications
• Experience with document and/or contract review is a plus.
Other Information:
- WFH - Night Shift 9PM to 6 am or 10 PM to 7 am
- 25 % Night Diff
