  1. Client Coordination

  2. Serve as the primary point of contact for client inquiries, updates, and scheduling needs.

  3. Assist in onboarding new clients and maintaining positive client relationships.

  4. Documentation & Compliance

  5. Prepare, review, and maintain contracts, agreements, proposals, and other brokerage documents.

  6. Ensure all files meet regulatory, company, and compliance requirements.
  7. Track and collect required documentation from clients and brokers.

  8. Administrative Support

  9. Manage calendars, schedule meetings, and coordinate appointments for brokers.

  10. Organize and maintain electronic and physical filing systems.
  11. Handle data entry, record updates, and report preparation.

  12. Transaction Coordination

  13. Monitor the progress of transactions to ensure deadlines and milestones are met.

  14. Communicate with clients, brokers, and third parties to facilitate smooth processing.
  15. Follow up on pending tasks, signatures, and pending approvals.

  16. Communication & Reporting

  17. Prepare status reports, summaries, and updates for management and brokers.

  18. Communicate important updates regarding accounts, transactions, or requirements.

  19. Operational Support

  20. Assist with coordinating training, meetings, and team events.

  21. Support brokers with market research, lead management, and prospect follow-ups (if part of the role).
  22. Maintain CRM or brokerage management systems.
