Job Summary
The Executive Assistant to the CEO provides high-level administrative support to the organization's executive leadership. The role focuses on managing schedules, coordinating communication, organizing company records, and ensuring seamless day-to-day operations. This position requires a proactive individual with excellent organizational skills, attention to detail, and the ability to handle sensitive information with confidentiality.
Key Duties and Responsibilities
Administrative and Secretarial Duties
- Manage and maintain the CEO's calendar, including scheduling meetings, appointments, and travel arrangements.
- Prepare and edit correspondence, reports, presentations, and other documents on behalf of the CEO.
- Handle incoming and outgoing communications, including emails, calls, and letters, ensuring timely responses.
- Organize and maintain files, records, and documentation in an efficient and accessible manner.
Meeting Coordination
- Schedule, coordinate, and prepare materials for meetings, including agendas, minutes, and follow-ups.
- Assist in organizing board meetings, team briefings, and other critical discussions, ensuring accurate documentation.
Office Operations
- Act as a liaison between the CEO and internal teams, ensuring smooth communication and collaboration.
- Monitor office supplies and facilitate requisitions to ensure operational efficiency.
- Assist in planning and organizing company events, training sessions, and employee engagement activities.
Support for Business Activities
- Conduct basic research or gather data as required to support business decisions or presentations.
- Assist in the preparation and tracking of budgets, expense reports, and financial records.
- Coordinate with external vendors or clients for meetings and transactions, ensuring professionalism and promptness.
Confidentiality and Discretion
- Handle sensitive and confidential information with integrity, maintaining trust and professionalism at all times.
- Ensure compliance with company policies and protocols while managing proprietary information.
Required Qualifications
Qualifications
Education
- Bachelor's Degree in Business Administration, Management, or related fields is preferred.
Experience
- At least 3-5 years of experience as an Executive Assistant, Secretary, or in a similar role.
- Previous experience in the pest control or related service industry is an advantage but not required.
Skills
- Exceptional organizational and time-management skills.
- Strong communication skills, both written and verbal, in English and Filipino.
- Proficiency in MS Office Suite (Word, Excel, PowerPoint) and familiarity with office equipment.
- Ability to multitask and prioritize under minimal supervision.
- Keen attention to detail and proactive problem-solving capabilities.
