Key ResponsibilitiesClient-Facing & Quality Assurance
- Act as the primary liaison with clients, ensuring timely communication and resolution of concerns.
- Monitor service delivery to ensure adherence to company standards and client satisfaction.
- Implement quality assurance measures to improve efficiency and client experience.
- Collect and analyze feedback to recommend process improvements.
Sales & Finance
- Manage B2C and B2B transactions, including preparing quotations, processing invoices, and handling payment collections.
- Record daily sales, monitor deposits, and follow up on receivables to ensure timely collection.
- Support business growth by identifying upselling and cross-selling opportunities.
Administrative & Operational Management
- Handle general administrative requests and provide support to executives and senior managers.
- Organize and schedule appointments, meetings, and prepare detailed meeting minutes.
- Draft and distribute internal communications such as emails, memos, and forms.
- Maintain and update office policies, procedures, and filing systems.
- Oversee office supplies, vendor research, and cost-efficient procurement.
- Manage operational expense budgets and prepare accurate expense reports.
Staff & Resource Coordination
- Conduct recruitment activities including screening, interviews, onboarding, and offboarding.
- Plan and organize staff transportation logistics to project locations.
- Coordinate with various departments to ensure smooth dissemination of information and task execution.
- Conduct weekly stock counts, finalize replenishment needs, and oversee inventory management.
Other Duties
- Provide general support to visitors and clients.
- Perform other tasks as may be assigned by management.
Qualifications
- Bachelor's degree in Business Administration, Management, or related field (preferred).
- Experience in operations, client relations, or supervisory roles.
- Strong organizational, leadership, and multitasking skills.
- Excellent communication and interpersonal skills with a client-care mindset.
- Proficiency in MS Office Suite and office management tools.
- Experience in sales processing, client coordination, and financial reporting.
- Knowledge of recruitment, onboarding, and staff coordination.
- Detail-oriented, adaptable, and able to work independently with minimal supervision.
