Key Responsibilities / Job Description:

1. Document Management & Control

  • Develop, implement, and maintain document control procedures and standards.
  • Manage the creation, revision, issuance, and archiving of company and project documentation.
  • Ensure documents are properly labeled, coded, and version-controlled.
  • Oversee the transition of physical documents into digital systems.

2. Quality Assurance & Compliance

  • Ensure all documentation complies with company policies, client requirements, and regulatory standards.
  • Conduct periodic audits of the document management system

3. System Administration & Reporting

  • Maintain and update electronic document management systems (EDMS).
  • Generate reports on document status, revisions, and distribution as required by management.
  • Troubleshoot document control system issues and coordinate with IT for system improvements.

4. Confidentiality & Security

  • Safeguard confidential information and ensure access control policies are enforced.
  • Manage document retrieval and distribution according to security protocols.

Qualifications:
  • Bachelor's degree in Business Administration, Information Management, or a related field.
  • Minimum of 3–5 years of experience in document control, including supervisory or lead roles.
  • Strong knowledge of document control standards and quality management systems (e.g., ISO 9001).
  • Proficiency in MS Office, SharePoint, or EDMS platforms.
  • Excellent organizational, leadership, and communication skills.
  • Detail-oriented with strong analytical and problem-solving abilities.
