Job Overview:

The Employee Relations Associate is responsible for supporting the HR team in managing employee relations, ensuring compliance with labor laws and HR policies, and fostering a positive and productive work environment. This role involves handling employee inquiries, addressing concerns, and ensuring a smooth and fair employee experience.

Key Responsibilities:

  • Ensure compliance with all relevant labor laws and regulations, including DOLE requirements.
  • Monitor and maintain records related to labor relations and HR compliance.
  • Prepare and post monthly HR announcements, inter-office memorandums, and other relevant communication.
  • Coordinate with the legal team to address labor relations issues and ensure proper legal compliance.
  • Resolve employee relations issues, conducting investigations and mediating between employees and management.
  • Close employee relations cases, ensuring timely resolution and follow-up.
  • Process and review Incident Reports.
  • Issue Notices to Explain (NTEs) to employees within 3 days of receiving Incident Reports.
  • Issue Notices of Disciplinary Action (NOD) to employees within 5 days of receiving a Reply to NTE.
  • Ensure all disciplinary cases are closed within the prescribed timeframes.
  • Assist with the issuance of Reprimands, Terminations, and other disciplinary actions as required.
  • Process and route separation clearances for departing employees, ensuring smooth and efficient off-boarding.
  • Ensure clearances are completed within 15 days for employees with no pending accountabilities and within 25 days for employees with outstanding accountabilities.
  • Issue final pay and Certificates of Employment to departing employees.
  • Propose at least 2 employee engagement activities per month, focusing on building team spirit and enhancing employee morale.
  • Contribute to the implementation of employee engagement initiatives, ensuring their effectiveness and success.
  • Strive to maintain a 95% employee satisfaction rating for all employee activities.
  • Visit at least 3 branches per quarter to provide on-site HR support and address employee concerns.
  • Maintain accurate and up-to-date records of employee relations cases, clearances, and HR announcements.
  • Prepare weekly and monthly reports on the status of cases, clearances, and HR activities.

Key Requirements:

  • Bachelor's degree in Human Resources Management, Business Administration, or a related field.
  • 1-2 years of experience in an employee relations or HR-related role.
  • Strong understanding of labor laws, HR policies, and best practices.
  • Excellent communication, interpersonal, and conflict resolution skills.
  • Ability to maintain confidentiality and handle sensitive information with discretion.
  • Strong organizational skills and attention to detail.
  • Proficient in Microsoft Office Suite and HR software applications.
