Aimpoint is an Australian Defence-focused Registered Training Organisation (RTO) and Group Training Organisation (GTO), delivering accredited training programs, workforce capability development, and industry pathways. We are expanding into Southeast Asia and establishing a quality and compliance office in Cebu to support our growing operations.

About the Role

We are seeking a high-performing Quality and Compliance Officer with strong experience in regulated environments, exceptional English communication skills, and a proven ability to maintain structured quality systems. This role will lead compliance across Aimpoint's:

  • Australian Skills Quality Authority (ASQA) Standards for Registered Training Organisations
  • National Standards for Group Training Organisations
  • Internal quality frameworks across all business services
  • Lead applications for ISO accreditation

This is a key governance role responsible for documentation accuracy, audit readiness, student file assurance, and continuous improvement. You will become Aimpoint's internal expert on Australian RTO and GTO compliance requirements.

Key Responsibilities

Quality & Compliance Leadership

  • Learn and apply Australian RTO and GTO regulatory standards.
  • Review and update all policies, procedures, templates, and forms.
  • Identify compliance gaps and coordinate corrective actions.
  • Maintain full audit readiness at all times.
  • Lead Aimpoints support to any regulator audit of our compliance

Student File & Certification Assurance

  • Review every student file before CEO signature on their qualification certificate. Correct errors where possible or work with stakeholder to correct.
  • Ensure assessment evidence, enrolment records, and training documentation meet ASQA requirements.
  • Maintain structured and audit-ready document storage.
  • Manage evidence retention and deletion requirements.
  • Feed and collect student and trainer feedback after every course completion.

Audit & Reporting

  • Maintain the Continuous Improvement Register, Quality Indicator data, LMS/SMS reports, and compliance dashboards.
  • Support internal and external audits, including ASQA and financial viability assessments.
  • Prepare monthly and quarterly reporting for the CEO and leadership team.
  • Upload data into AVETMISS data and prepare submissions when required of our data.

GTO Compliance Activities

  • Schedule and coordinate weekly trainee/apprentice progress reviews with GTO leads
  • Conduct all marketing compliance checks before marketing material is published.
  • Fortnightly on-site trainee documentation review coordination.
  • Coordinate and run the Quarterly Compliance & Continuous Improvement Meetings.
  • Annual reviews of programs, strategy, business plan, insurance renewals, and compliance evidence.

RTO Compliance Activities

  • Run weekly QI data collation, LMS/SMS reporting, CI register updates, and marketing checks.
  • Run and conduct monthly compliance reports, newsletters, financial meetings, and evidence retention management.
  • Coordinate and run quarterly and bi-annual compliance reviews, superseded training product checks, and trainer feedback reporting.
  • Conduct annual AVETMISS reporting, internal audits, policy reviews and external audit preparation.

Required Qualifications & Experience

Essential

  • Bachelor's degree in Business, Quality Management, Education, Compliance, Auditing, or any related field.
  • Minimum 3 years' experience in a quality, compliance, auditing, or regulated governance role.
  • Fluent English communication skills – written and verbal.
