What We Are Looking For

We are seeking a highly organized and proactive Business Operations Associate to join our growing team. This role will be central to ensuring smooth day-to-day operations, from managing internal processes to supporting compliance and fieldwork. The ideal candidate brings strong administrative and bookkeeping skills, thrives in a fast-moving startup environment, and is eager to contribute to impactful work in sustainability and community-led restoration.

Responsibilities

  • Coordinate team travel (flights, accommodations, ground logistics) end-to-end
  • Manage calendars and schedule meetings across time zones
  • Track attendance and leave; maintain basic HR records
  • Handle internal bookkeeping: process reimbursements, organize receipts, and support Philippine compliance, working with the Director of Finance
  • Liaise with the third-party accountant; prepare and submit required documents on time
  • Maintain a simple client or outreach tracker to ensure timely follow-ups, coordinating with Directors in Advisory practice and the Project Development team
  • Manage Google Drive for records of previous client meetings, document templates, field work, and final outputs
  • Oversee office operations: supplies procurement, vendor coordination, and occasional errands
  • Provide on-site support for fieldwork or events as needed
  • Occasionally coordinate physical document printing and collection (or other errands) for project field work preparations or for client meetings in Manila

Qualifications

  • Bachelor's degree in Business Administration, Accounting, or a related field (or equivalent experience).
  • 3-5 years in administrative operations, office management, or executive assistance
  • Solid bookkeeping fundamentals (expense tracking, reimbursements, basic reconciliations)
  • Familiarity with Philippine compliance workflows (BIR filings/eBIR/eFPS, SSS, PhilHealth, Pag-IBIG, official receipts/2307) or a fast learner willing to upskill.
  • Strong Google Workspace skills (Sheets, Docs, Slides, Calendar); comfortable maintaining trackers and using basic formulas/pivots.
  • Excellent calendar management and travel coordination across time zones.
  • Clear, professional written and verbal communication (English and Filipino); confident handling client and vendor follow-ups.
  • Highly organized with strong attention to detail and follow-through; able to manage multiple deadlines.
  • Discreet with sensitive information; reliable and proactive in a small, fast-moving startup.
  • Willing to support fieldwork and community engagements; open to occasional local travel across the Philippines

Preferred, but not required

  • Experience liaising with external accountants or auditors; basic payroll exposure.
  • Interest in sustainability/climate; exposure to carbon projects is a plus but not required.
  • Desire or experience in using the latest AI tools to help streamline work processes and to do quality checks on document drafts vs. requirements

Compensation

Wovoka invests in its employees. This role is mostly remote, with one co-working day per week. The base monthly salary is ₱40,000–₱45,000, depending on experience and application performance, plus performance-based bonuses and benefits to support your well-being.
