An Administrative Officer with legal document experience performs a dual role: managing administrative operations and providing specialized support for legal tasks, including drafting, filing, and organizing legal documents, conducting basic legal research, coordinating with clients and external entities, ensuring legal compliance, and maintaining case-related records and databases. Key responsibilities involve accurate document handling, scheduling legal meetings, managing legal files, and ensuring that all activities comply with relevant legal standards and policies.
Key Duties and Responsibilities
Legal Document Management:
· Draft, prepare, and format various legal documents, such as contracts, agreements, correspondence, and other legal instruments.
· Organize, file, scan, copy, and maintain physical and digital legal files.
· Ensure accuracy and compliance with legal standards and internal policies.
Scheduling and Coordination:
· Schedule and coordinate meetings, depositions, hearings, and other client or court appearances.
· Manage calendars and provide reminders for deadlines and appointments.
Research and Support:
· Conduct legal research and gather relevant information to support case preparation.
· Prepare and review legal opinions or comments on legal documents.
Communication and Client Interaction:
· Communicate with clients, opposing counsel, and other external vendors or agencies.
· Respond to inquiries and provide information regarding legal matters.
Administrative and Operational Support:
· Manage office procedures, coordinate tasks, and develop and implement office policies.
· Support with financial activities like processing invoices, managing budgets, and handling accounts.
· Oversee digital operations, such as cybersecurity, and maintain databases.
Compliance and Ethics:
· Ensure compliance with legal and ethical standards, including data security and confidentiality.
· Monitor and track the progress of legal cases or initiatives.
Supervision (if applicable):
· Supervise and manage support staff, including paralegals or legal assistants.
Qualifications:
- A graduate of any four (4) Business course
- With at least 5 years work experience in Admin and background as Liaison
- Experience in processing international legal documents
- Must be resourceful and detail-oriented
- Willing to be assigned OVERSEAS.
