The Logistics/Dispatch Coordinator is responsible for coordinating the timely and accurate dispatch of goods to retail stores, warehouses, partners, and customers. This role plays a critical part in the logistics chain, ensuring that inventory moves efficiently, orders are fulfilled correctly, and deliveries meet customer expectations. The officer will work closely with warehouse teams, transport providers, sales, and customer service teams.

Key Responsibilities

Dispatch & Distribution Management

  • Coordinate daily dispatch schedules for orders to retail outlets, distributors, and direct-to-consumer shipments.
  • Ensure all products are picked, packed, and dispatched accurately and on time.
  • Prepare dispatch documentation, including invoices, delivery notes, and shipping labels.
  • Liaise with courier companies and transport providers to schedule pickups and deliveries.

Inventory Coordination

  • Work with the warehouse team to manage inventory movement, ensuring stock accuracy during dispatch.
  • Assist in periodic stock checks and cycle counts.
  • Update inventory systems to reflect accurate stock levels after dispatch.

Logistics Tracking & Reporting

  • Monitor delivery progress and follow up with carriers to ensure timely arrival of goods.
  • Track and resolve delivery delays, discrepancies, or damages with appropriate documentation.
  • Maintain records of shipments, including logs, reports, and proof of delivery (POD).
  • Provide regular dispatch and delivery performance reports to the management team.

Customer Service & Communication

  • Coordinate with the customer service and sales teams to prioritize urgent or high-value orders.
  • Communicate proactively with internal teams and external partners regarding order status, delays, or issues.
  • Handle logistics-related complaints or queries and ensure prompt resolution.

Compliance & Safety

  • Ensure proper handling, storage, and transport of cosmetic products in compliance with safety and quality standards.
  • Comply with all local regulations and company policies related to logistics and transportation.
  • Maintain cleanliness and organization in the dispatch area to promote safety and efficiency.
