Job Summary

The Finance and Admin Assistant supports the company's financial and administrative operations by maintaining accurate records, managing office requirements, and ensuring compliance with regulatory and organizational standards. This role requires attention to detail, organizational skills, and the ability to handle multiple tasks efficiently.

Responsibilities

Finance Support

  • Record financial transactions and maintain accurate accounting and bookkeeping records.
  • Prepare and organize supporting documents for payments, reimbursements, and accounting reports.
  • Coordinate and process payments for office expenses such as utilities, rent, and vendor services.
  • Assist in monitoring budgets and tracking expenses.
  • Maintain organized financial files for audits and reporting purposes.

Office Management Support

  • Provide administrative support for obtaining and renewing business permits and other government-mandated certifications or registrations, including coordination with relevant government agencies.
  • Track and manage compliance deadlines to ensure timely submissions and avoid penalties.
  • Maintain relationships with vendors and service providers, negotiating contracts and ensuring timely settlements.
  • Monitor and manage office supply inventories and handle replenishment as needed.
  • Address facility maintenance requests promptly and coordinate with service providers for repairs or improvements.
  • Supervise organizational documentation, ensuring adherence to ethical, regulatory, and company standards.
  • Maintain secure and organized physical and digital filing systems, safeguarding sensitive information.

Qualifications

  • Bachelor's degree in Accounting, Business Administration, Finance, or a related field.
  • Knowledge of basic accounting and record keeping.
  • Strong attention to detail and accuracy.
  • Good communication and organizational skills.
  • Proficient in Microsoft Office (especially Excel) and familiar with basic accounting software.
  • Experience in accounting or bookkeeping is an advantage but not required.
  • Fresh graduates are welcome to apply.
  • Ability to manage multiple tasks and meet deadlines.
  • Demonstrates integrity, confidentiality, and professionalism in handling sensitive information.
