Duties and Responsibilities of a Transport Planner/Coordinator

  1. Transport Planning and Route Optimization

 Plan, schedule, and optimize delivery and pickup routes across multiple client accounts.

 Utilize TMS (Transport Management System) or manual tools to ensure cost-efficient and timely transport

plans.

 Balance service quality with cost-effectiveness across urban and provincial deliveries.

  1. Coordination Across Stakeholders

 Coordinate with warehouse, dispatch, customer service, and client representatives to align transport

activities.

 Maintain close communication with internal teams and external partners (e.g., trucking subcontractors,

drivers).

  1. Execution Monitoring

 Track transport execution in real-time using GPS or transport dashboards.

 Proactively address and resolve transport issues (delays, vehicle breakdowns, delivery failures).

  1. Client SLA Compliance

 Monitor delivery performance to ensure SLA adherence (e.g., on-time delivery, POD turnaround time).

 Analyze transport KPIs and support continuous improvement initiatives.

  1. Documentation and Reporting

 Prepare and validate waybills, delivery receipts, gate passes, and other shipment-related documents.

 Consolidate and submit daily/weekly transport performance reports to clients and internal stakeholders.

  1. Billing and Cost Monitoring

 Capture transport-related data for billing accuracy (e.g., distance, wait time, pallet count).

 Support the finance team in validating transport invoices and resolving discrepancies.

  1. Subcontractor Management

 Schedule and coordinate trips with third-party haulers.

 Evaluate transporter performance and escalate issues as necessary.

  1. Fleet and Equipment Utilization (if fleet is managed in-house)

 Ensure vehicle availability, maintenance, and rotation are aligned with delivery schedules.

 Maximize truck utilization per trip (volume/weight/cube optimization).

  1. Safety and Compliance

 Ensure drivers and subcontractors comply with safety protocols and road regulations.

 Support safety audits and incident investigations related to transport operations.

  1. Continuous Improvement

 Participate in client reviews, MORs (Monthly Operations Reviews), and internal LEAN initiatives.

 Recommend improvements to route plans, truckload planning, and service processes.
