Role Overview:

We're seeking a Customer Service Representative who is proactive, empathetic, and detail-oriented to join our HVAC operations team. This role involves handling inbound and outbound calls, scheduling service appointments, and coordinating with both customers and technicians to ensure smooth daily operations.

Key Responsibilities:

  • Answer incoming calls and respond to customer inquiries with professionalism and empathy
  • Make outbound calls to schedule HVAC service and maintenance appointments using Housecall Pro
  • Prioritize urgent customer calls and manage service requests efficiently
  • Communicate and coordinate with Property Management clients
  • Manage multiple tasks while maintaining attention to detail and meeting deadlines
  • Deliver outstanding customer service in every interaction
  • Utilize strong computer and data entry skills for appointment management and documentation
  • Support field technicians by providing accurate information and timely updates
  • Manage incoming emails and ensure prompt follow-ups
  • Complete assigned tasks accurately and on time

Qualifications:

  • Prior experience in customer service, preferably in HVAC or property management
  • Strong communication and organizational skills
  • Proficiency with computer systems and CRM tools (experience with Housecall Pro is an advantage)
  • Ability to multitask and perform well in a fast-paced environment
  • Positive, team-oriented attitude with a commitment to excellent service
