Short Description

Responsible for managing the financial and accounting operations, activities and services of the Foundation and its members, including financial planning, budgeting, forecasting, reporting and analysis, in accordance with all applicable laws, regulations and organizational procedures

Duties and Responsibilities

1.     Accounting and Bookkeeping

a.     Maintain an accurate record of financial transactions

i.     Process payables to ensure timely and accurate payments, monitor account balances and expenditures, and respond to vendor inquiries regarding payments

ii.     Process receivables to ensure timely and accurate recording of revenue, including sending of invoices, tracking and receipting of payments, and resolving discrepancies

iii.     Assist in the preparation of budget and expense reports

iv.     Coordinate the tracking and monitoring of financial instruments/products such as bank accounts, loans, investments, etc.

v.     Assist in the reconciliation of records

b.     Coordinate with Comptroller, accounting and payroll services providers, banks, and other relevant stakeholders for the timely and accurate updating of financial records, processing of payments, generation of reports, cash management, etc.

c.      Coordinate and assist personnel-related matters, including but not limited to:

i.     Developing pay structure and other benefits

ii.     Ensuring timely and accurate payroll, compliance of mandatories, etc.

d.     Maintain, manage and coordinate necessary databases, inventories, etc.

2.     Financial Management

a.     Implement and maintain an auditable and transparent financial model and infrastructure for the Foundation and its members

b.     Assist in and coordinate budget forecasting, preparation, consolidation and structuring

c.      Assist in monitoring and analyzing budget utilization and management, including cash flow and cash projections

d.     Assist in managing and monitoring funds and grants, including the preparation of financial reports in compliance with grant applications and/or grant requirements

3.     Compliance and Audit

a.     Assist in and coordinate the filing, processing and recording of taxes and other finance-related regulatory requirements

b.     Assist in and coordinate internal and external audits, including the preparation of financial statements

c.      Ensure compliance with financial policies, regulations, tax laws, and other related requirements

d.     Develop and use tracking tools to monitor the performance of operations

4.     
Administrative
: Provide administrative and operational support to the day-to-day operations of the Foundation

a.     Provide support in strategic planning through alignment of functional goals and responsibilities

b.     Assist in the development and continuous improvement of relevant systems, policies, procedures, etc.

c.      Assist in developing, managing, maintaining and updating files, databases, and other info management systems, including the coordination of institutional documents

d.     Support board relations functions, including the preparation of reports and documents and the coordination of schedules and other requirements

SPECIFICATIONS

1.     Education and Professional Requirements

a.     Degree in Accounting, Finance or other relevant field

b.     Professional certifications such as CPA, CFA, CMA

2.     Experience

a.     Minimum of five (5) years experience in finance and accounting in non-profits

b.     At least three (3) years experience in a relevant supervisory role

3.     Skills / Competencies

a.     Technical

i.     Extensive knowledge in non-profit accounting

ii.     In depth knowledge of regulatory issues, accounting and taxes

iii.     Experience with accounting software and systems

b.     Professional

i.     Analytical, problem-solving, presentation and leadership skills

ii.     Good verbal and written communication skills

iii.     Time and task management skills

iv.     High level of attention to detail towards accuracy, especially when dealing with financial data

v.     Service-orientedness and commitment to high quality service

vi.     Ability to work collaboratively, as well as motivate others
