Job Summary

We're hiring a detail-oriented Estimator / Administrative VA to support our client — a painting specialist company known for delivering high-quality interior and exterior painting services across residential and commercial projects.

You'll be responsible for combining estimating accuracy with administrative efficiency, ensuring every project runs smoothly from quotation to completion.

Key Responsibilities

1. Estimating and Quotation Support

  • Prepare detailed cost estimates and quotations, including labor, materials, and subcontractor costs.

  • Review project requirements to ensure accuracy and alignment with forecasted margins.

  • Source and compare supplier and subcontractor pricing for trades, equipment, and materials.

  • Ensure all estimates are completed accurately and on time, with supporting documentation.

2. CRM and Project Coordination

  • Manage project and client data using Tradify or similar CRM/job management systems.

  • Update job records, quotes, and progress notes to ensure real-time accuracy.

  • Assist in compiling detailed job files and liaising with operations teams.

3. Administrative & Executive Assistance

  • Manage email correspondence and respond to client or supplier inquiries promptly.

  • Maintain and organize calendars, meetings, and follow-ups for the management team.

  • Prepare reports, spreadsheets, and other documentation as required.

  • General administrative duties to support the Directors.

4. Customer Service

  • Handle client communications professionally through email and virtual meetings.

  • Coordinate with suppliers and clients to ensure smooth workflow and timely project updates.

  • Represent the company in a professional and customer-focused manner.

Qualifications and Experience

Knowledge & Experience

  • At least 3 years of experience in estimating, administrative support, or similar roles (preferably in construction, trades, or service industries).

  • Experience using Tradify, Simpro, or similar job management software is highly desirable.

  • Experience using  Groundplan, or similar estimating software is highly desirable.

  • Background in cost estimation, pricing, or procurement is an advantage.

  • Strong familiarity with CRM tools and Microsoft Office Suite (Excel, Outlook, Word).

  • Excellent organizational and multitasking skills.

  • High attention to detail and accuracy in numbers.

  • Strong written and verbal English communication skills.

  • Ability to work independently with minimal supervision.

  • Proactive, resourceful, and committed to meeting deadlines.

System Requirements

  • Laptop or desktop with at least an Intel i5 processor (or equivalent).

  • Minimum 8GB RAM.

  • Stable internet connection (25 Mbps or higher).

  • Working headset and webcam for virtual meetings.

  • Quiet, dedicated home workspace.
