About the Role:

We are hiring a
remote Scheduling Specialist
to join our team, focused on managing
appointment scheduling and front-end coordination
for psychiatry and behavioral health services under the U.S. healthcare system. This is a full-time, remote role for candidates based in
Quezon City, Philippines
, working night shifts aligned with
U.S. Central Time (10 PM – 7 AM PHT)
.

The ideal candidate will have experience in medical scheduling, handling high call volumes, and working with Electronic Health Record (EHR) systems. Strong communication skills, attention to detail, and the ability to work independently are essential for success in this role.

Key Responsibilities:

Appointment Scheduling:

  • Efficiently schedule new, follow-up, and rescheduled psychiatry/behavioral health appointments, optimizing provider calendars.
  • Manage scheduling across multiple time zones, appointment types, and clinical needs.

Patient Interaction and Call Handling:

  • Handle 60–70 inbound/outbound calls per shift with professionalism and empathy.
  • Assist patients with scheduling, confirmations, and general inquiries.
  • Manage no-shows, cancellations, and reschedules to minimize disruptions.

Data Entry and System Management:

  • Accurately update patient data in the EHR and scheduling platforms.
  • Maintain accurate logs of demographics, insurance info, and appointment histories.

Communication and Coordination:

  • Act as a liaison between patients, providers, and internal teams.
  • Communicate schedule changes promptly and clearly to relevant stakeholders.

Problem Solving and Conflict Resolution:

  • Resolve scheduling conflicts or provider/patient availability issues effectively.
  • Escalate complex cases to supervisors as needed.

Policy Adherence and Compliance:

  • Ensure HIPAA compliance and follow internal scheduling protocols.
  • Participate in regular training to stay updated on process and compliance requirements.

Qualifications:

  • Based in
    Quezon City, Philippines
    or nearby areas.
  • Willing to work
    night shifts (10 PM – 7 AM PHT)
    aligned with U.S. Central Time.
  • High School Diploma and/or O/A Levels with relevant experience and/or a Bachelor's degree.
  • Fluency in
    English (spoken and written)
    is essential.
  • Prior experience in
    medical scheduling
    within the U.S. healthcare system is preferred.
  • Familiarity with
    EHR systems
    and healthcare scheduling platforms.
  • Excellent organizational, time-management, and communication skills.
  • Strong customer service orientation; experience in psychiatry or behavioral health is a plus.
