JOB SUMMARY
The Culinary Admin Associate provides essential administrative support to the Director of Culinary and the culinary leadership team, ensuring efficient communication, accurate documentation, and smooth operational flow within the culinary division. By managing schedules, processing paperwork, and coordinating information, the Associate contributes to the overall effectiveness and organization of culinary operations. This role is pivotal in maintaining seamless communication and administrative efficiency, allowing the culinary leadership team to focus on strategic and operational excellence.
RESPONSIBILITIES
- Communication and Liaison:
Facilitate clear and timely communication between the Director of Culinary, culinary leadership, and other departments, acting as a central point of contact. This includes disseminating information via email, written correspondence, and personal interactions, ensuring all relevant parties are informed of operational updates, HR needs, sales requests, and other critical information. This ensures effective information flow and coordination across the culinary division and other departments.
- Document Management and Reporting:
Prepare, organize, and maintain accurate documentation, including reports, menus, letters, and meeting minutes, as requested by the Director of Culinary and culinary leadership. This includes researching information, drafting documents, and ensuring timely review and signature of invoices and payables. This ensures efficient record-keeping and facilitates informed decision-making within the culinary division.
- Scheduling and Timekeeping Support:
Manage the input of weekly banquet and outlet schedules, ensuring accurate recording of colleague hours. This includes assisting in filling schedule gaps due to absences or changes in business volume, and rectifying missed punches for timekeeping accuracy. This ensures optimal staffing levels within the culinary division and provides accurate timekeeping information that impacts payroll.
- Financial and Inventory Support:
Maintain accurate records of culinary expenses, including the F&B Culinary Checkbook (if applicable) and purchase orders, and code invoices for review and routing. Assist in month-end and year-end inventory processes as needed. This ensures accurate financial tracking and supports efficient inventory management within the culinary division.

- Administrative and Operational Coordination:
Coordinate the Director of Culinary's daily schedule, manage office supplies, maintain culinary team certifications, and keep the Culinary Information Board updated. This includes preparing meeting minutes and ensuring all relevant information is readily available. This ensures smooth administrative operations and facilitates effective communication within the culinary division.
QUALIFICATIONS
- Must possess a Bachelor's Degree, any course
- At least one (1) year service experience in any 5-star hotel / casino
