We are seeking a highly organized and proactive Administrative Staff member to join our dynamic team. The ideal candidate will play a key role a variety of tasks—both in the office and in personal matters—to support a busy executive in all aspects of daily operations and personal life.
Key Responsibilities:
- Manage office tasks such as scheduling, correspondence, and general office management.
- Assist with personal tasks including coordinating household schedules, running personal errands, and organizing personal events.
- Handle personal needs such as booking appointments, managing service providers for home maintenance, and coordinating personal travel and logistics.
- Represent the executive in professional and personal matters when necessary.
- Provide support with home management tasks such as coordinating with household staff, organizing deliveries, and overseeing household supplies.
- Maintain confidentiality and professionalism at all times.
- Handle multiple priorities efficiently, without hesitation or complaints, whether in a professional or personal capacity.
- Help ensure smooth operations in both the office and personal life, and address issues that arise.
- Stay calm under pressure and manage frustrations constructively.
Key Requirements:
- Strong work ethic and ability to manage both professional and personal tasks without constant oversight.
- Emotional resilience, with the ability to handle constructive criticism and not take things personally when faced with frustration or high-pressure situations.
- Exceptional organizational and multitasking skills.
- Ability to represent the executive in both business and personal matters when needed.
- Flexibility and willingness to handle both office work and personal errands.
A positive attitude, with a focus on problem-solving and ensuring tasks are completed efficiently.
Market Research: Conducting market research to gather information on industry trends, competitor activities, and customer preferences. This information can be valuable for strategic planning and decision-making.
- Advertising Support: Providing support for advertising initiatives such as creating ad copy, coordinating with advertising agencies or vendors, and monitoring ad performance.
- Data Analysis: Analyzing marketing data and metrics to evaluate the effectiveness of marketing campaigns and initiatives. This may involve generating reports, identifying trends, and making recommendations for optimization.
- Market Communication: Serving as a point of contact for marketing-related inquiries from internal stakeholders, external partners, or customers. This could involve responding to inquiries, forwarding messages to the appropriate parties, and ensuring timely follow-up.
- Perform any other duties and special reports that a veterinarian or veterinary technician may require
- Perform other tasks that have a direct business impact assigned by the immediate supervisor or the management which may be within or beyond the scope of the job.
