Our client is a Tier 1 Engineering, Procurement and Construction (EPC) contractor in the Australian solar and renewable energy industry. Having evolved from a hands-on electrical contractor to a large-scale EPC model, the company now manages multi-million-dollar solar projects requiring sophisticated project coordination and documentation systems.

About the Role

We are seeking a highly organized Project Coordinator to support our Australian-based project management team. This role will provide critical administrative, documentation, and coordination support to ensure the smooth delivery of large-scale solar projects. You'll help streamline operations, improve compliance, and enable project managers to focus on core project delivery.

Key Responsibilities

  • Project Administration & Coordination

  • Prepare and manage project documentation using Procore for all solar projects.

  • Support project managers in administrative tasks, ensuring deadlines and compliance requirements are met.
  • Manage DNSP (Distribution Network Service Provider) applications and approvals.

  • Documentation & Compliance

  • Compile and maintain handover documents critical for invoicing and payment collection.

  • Assist with creating and maintaining Safe Work Method Statements (SWMS).
  • Track solar equipment details (panels, inverters, racking) and ensure records are accurate.

  • Stakeholder Communication

  • Liaise with installers, suppliers, and internal teams to ensure timely flow of information.

  • Coordinate updates between project managers, sales teams, and administration teams.
  • Use Slack and HubSpot to communicate project status and progress updates.

  • Reporting

  • Generate regular reports on project milestones, compliance status, and operational bottlenecks.

  • Support invoicing and finance processes through accurate and timely document submission.
Qualifications
  • Experience: At least 3 years' experience in project coordination, preferably in the solar or renewable energy industry.
  • Australian Solar Knowledge: Familiarity with Australian solar industry standards, terminology, and DNSP requirements strongly preferred (international solar experience also considered).
  • Systems Expertise: Proficiency in Procore essential; experience with Excel, HubSpot, and Slack highly regarded.
  • Documentation Skills: Strong ability to compile, review, and manage large volumes of documentation with high attention to detail.
  • Communication Skills: Excellent written and verbal English communication skills; able to coordinate with cross-functional and international teams.
