Job Summary:
The HRIS Associate will assist in the day-to-day maintenance, support, and basic optimization of the organization's Human Resource Information System (HRIS).
With 5–10 years of experience, the role involves helping ensure HR data accuracy, preparing standard reports, and supporting process improvements within HR operations. The ideal candidate is detail-oriented, eager to learn, and motivated to enhance HR processes through technology and data management.
Key Responsibilities:
- Maintain, update, and monitor employee data within the HRIS with a focus on accuracy, confidentiality, and compliance.
- Support onboarding, offboarding, employee changes, and benefits administration through the HRIS.
- Generate standard and ad hoc reports for HR metrics, analytics, compliance, and business leaders.
- Collaborate with HR, IT, and Payroll teams to ensure system alignment and smooth data flow.
- Assist in system upgrades, patches, testing, and implementation of new features or modules.
- Provide user support and training for HRIS users across the organization.
- Ensure data privacy and security in accordance with local labor laws and internal policies.
- Participate in audits by providing accurate and timely reports and system data.
- Help identify inefficiencies in HR processes and recommend automation or system solutions.
- Maintain system documentation, user guides, and standard operating procedures.
- Collaborate on cross-functional HR projects, including performance management, compensation, and talent development systems.
- Other HR tasks might be assigned from time to time
Key Skills and Competencies:
Technical Skills:
- Proficiency in HRIS platforms such as SAP SuccessFactors, Workday, Oracle HCM, ADP, BambooHR, or similar systems
- Strong Microsoft Excel skills (VLOOKUP, pivot tables, formulas, etc.)
- Familiarity with SQL or data visualization tools (Power BI, Tableau) is a plus
- Basic knowledge of system configuration and user access controls
Analytical & Reporting Skills:
- Strong attention to detail and commitment to data accuracy
- Ability to interpret and analyze HR data to inform business decisions
- Experience generating dashboards, KPIs, and compliance reports
HR Knowledge:
- Understanding of HR processes such as payroll, benefits, onboarding/offboarding, and performance management
- Awareness of data privacy laws (e.g., GDPR, local labor laws)
- Knowledge of organizational structure and job classification systemsSoft Skills:
- High level of discretion and confidentiality
- Strong communication and interpersonal skills
- Problem-solving mindset with a proactive approach to system issues
- Ability to work independently and manage multiple tasks simultaneously
- Detail-oriented with excellent organizational and documentation skills
Qualifications:
- Bachelor's degree in Human Resources, Information Systems, Business Administration, or related field
- 1–3 years of experience in HRIS or HR operations
- Certification in HR or HRIS systems is a plus (e.g., SHRM, PHR, Workday Certified)
