Lead Generation & Prospecting

  • Conduct cold calls to FSBOs, expired listings, and circle prospecting leads
  • Respond to new leads within 5 minutes via calls, texts, or emails
  • Nurture leads, schedule consultations, and maintain detailed CRM notes

CRM & Pipeline Management (kvCORE)

  • Enter and update contacts, tags, and follow-up tasks
  • Monitor overdue tasks, deadlines, and deal progress
  • Deduplicate and clean up the database regularly

Marketing & Social Media

  • Post and manage scheduled content (reels, carousels, stories)
  • Engage with followers through comments and DMs
  • Curate market updates, local events, and trending topics for engagement

Client & Vendor Coordination

  • Schedule and confirm showings, inspections, and consultations
  • Communicate with stagers, photographers, title reps, and lenders
  • Follow up with buyers and sellers regarding offers and negotiations

Transaction & MLS Support

  • Pull hot sheets and create customized property lists for buyers
  • Prepare MLS drafts for review
  • Track offers, contingencies, and key transaction deadlines

Communication & Reporting

  • Send daily touchpoints such as property alerts, drip emails, and client check-ins
  • Provide end-of-day reports summarizing calls made, leads contacted, appointments set, engagement, and any issues

Systems & Workflow Maintenance

  • Document new processes and SOPs
  • Create CRM automations (Zapier) and flag workflow errors for improvement

Experience and Proficiency

  • Excellent English communication skills (written and verbal)
  • Proven Real Estate Assistance/Support experience as a VA or in a corporate setting (IMPORTANT)
  • Experienced in cold calling and appointment setting (IMPORTANT)
  • Strong CRM management experience, preferably with kvCORE
  • Familiarity with MLS platforms
  • Proficiency in Canva for marketing and visual materials
  • Experience with CRM automations, preferably through Zapier
  • Knowledge of Google Workspace tools
  • RedX or other lead generation platform experience is a strong plus
