Job Description

As a Telecom Coordination Analyst, you'll manage site visit schedules, monitor telecom contracts, and maintain consistent coordination between internal teams, property managers, and vendors. You'll ensure accuracy, efficiency, and strong collaboration across all communication channels to keep every operation on track.

The Qualifications We Seek

  • 1-3 years of experience in a coordination, operations, administrative, or customer-facing role
  • Bachelor's degree in Business, Communications, or a related field (preferred)
  • Customer service and billing experience in a telecom or related environment (highly preferred)
  • Proficiency with Google Workspace, QuickBooks, and CRM/accounting software
  • Strong communication, organizational, and time-management skills
  • Background in telecom coordination, operations, or administrative support is a plus

Your Daily Tasks

Site Visit Management

  1. Coordinate and schedule site visits with internal teams and vendors.
  2. Maintain an up-to-date site visit tracker with technician notes and access details.
  3. Communicate with Property Managers (PMs) and Boards of Directors (BOD) to ensure site access.

Contract & Document Tracking

  • Monitor and organize telecom contracts via Google Drive and vendor communications.

Communication & Coordination

  • Respond to email inquiries from managers and board members.
  • Coordinate with vendors and internal teams on ongoing and upcoming tasks.

New Business Support

  • Download, organize, and process invoices for new business accounts.
  • Identify and document phone numbers and telecom services for clients.

Issue Resolution

  • Manage urgent or complex issues and shifting priorities.
  • Provide cross-departmental support for special projects when needed.

Billing & Financial Updates

  • Enter invoices into QuickBooks accurately and promptly.
  • Ensure all billing and financial records are up to date.
