Overview

Our client is looking for an Admin and Logistics Assistant to join its dynamic team. This role plays a vital part in ensuring the smooth flow of day-to-day operations, particularly in providing support for exhibitions and auctions. The successful candidate will handle administrative tasks, coordinate logistics, and assist in the execution of events that bring art, culture, and collectors together.

What You'll Do

Administrative Support

  • Coordinate with the Marketing Team for purchasing paints and materials used in exhibition and auction setups
  • Liaise with building admin for maintenance, safety, repairs, aircon cleaning, and other facility concerns
  • Monitor office supplies and manage inventory to ensure availability at all times
  • Systematically file company and business documents while ensuring confidentiality
  • Manage the reception area by welcoming guests, directing visitors, and handling incoming phone calls

Logistics Coordination

  • Organize the delivery and shipment of sold items and catalogues both locally and internationally, in line with client requirements
  • Maintain accurate records and logs of logistics, orders, and supplies
  • Oversee the movement of auction consignments, office materials, and storage inventory
  • Coordinate mailouts for auction catalogues and invitations
  • Assist Marketing with supplier coordination during event setups (ingress/egress of caterers, etc.)

Other Responsibilities

  • Respond to client inquiries (walk-ins or email) regarding consignment procedures
  • Maintain confidentiality and protect sensitive company information
  • Perform other duties as may be assigned by management
  • Represent Salcedo Auctions professionally and uphold the company's values at all times

What We're Looking For

  • Bachelor's degree in Business Administration, Management, Information Technology, or a related field
  • At least 2 years of relevant work experience; experience in administrative and/or logistics roles preferred
  • Strong organizational skills with keen attention to detail
  • Excellent communication and customer service abilities
  • Ability to adapt quickly and efficiently in a fast-paced environment
  • Proficiency in MS Office; knowledge of logistics software is a plus
