Position Summary:
The Administration Officer supports the operational and management team to ensure smooth and efficient business processes across the company. This position plays a key role in managing administrative systems, financial data entry, document control, and communication between management, suppliers, and staff.
The role requires excellent attention to detail, initiative, and strong computer skills — especially in SimPRO, Xero, Gmail and Microsoft Office.
Key Responsibilities:
Office & Systems Administration
- Enter and maintain accurate data in SimPRO and Xero.
- Create, process, and follow up purchase orders, supplier invoices, and receipts.
- Assist with quoting and invoicing as directed by management.
- Maintain document control systems, filing, and record management.
- Ensure all compliance documentation (SWMS, ITPs, warranties, photos) are maintained.
- Support management with weekly and monthly reporting.
Communication & Support
- First point of contact via phone and email for suppliers, clients, and internal staff.
- Assist trade managers and field staff by ensuring job-related paperwork and materials are complete before invoicing.
- Coordinate deliveries, receipts, and supplier correspondence.
- Provide support to the Admin Manager, Service Managers, and Bookkeeper as required.
Financial & Reporting Support
- Match supplier invoices to POs and job numbers.
- Assist with timesheets, expense reports, and reconciliations.
- Track and follow up unpaid supplier invoices and quotes in SimPRO.
- Support preparation of monthly KPI and performance reports.
Requirements:
- Proven experience in office administration or similar role.
- Strong proficiency in SimPRO, Xero, Gmail, and Microsoft Office Suite.
- Excellent attention to detail and organizational skills.
- Strong written and verbal communication skills.
- Ability to manage multiple priorities and meet deadlines.
- Team player with a proactive and problem-solving mindset.
