Job description:

We are seeking a detail-oriented and proactive Sales Support to join our team. The ideal candidate will be a highly organized individual who can manage multiple tasks efficiently, ensuring our sales operations run smoothly and our sales team is well-supported.

Key Responsibilities:

Order Processing and Fulfillment:

  • Daily creation of sales orders (SO) and communication to the relevant team members.
  • Ensure all orders from vacant territories and our Professional Medical Representatives (PMR) are processed promptly and accurately.
  • Monitor the timely delivery of all orders and follow up with the logistics team as needed.
  • Track and update the status of orders in our internal systems (GB and ISPI master data).
  • Generate and send out sales order monitoring reports on a regular basis.
  • Handle and resolve issues related to incorrect orders or deliveries, including collecting necessary documentation like photos and sales invoices.

Promotional Materials and Samples Management:

  • Prepare and process monthly allocations and special requests for promotional materials and samples for our VisMin team and for events.
  • Coordinate the shipment of all promo materials and samples to various locations via our forwarder.
  • Maintain and update the promotional materials stock on hand file monthly and upon request.
  • Conduct physical counts of all promotional materials and samples in the office and storage facilities as needed.

Administrative and General Support:

  • Serve as a backup for other team members, handling tasks such as answering phones, greeting visitors, releasing and depositing checks, and scanning/printing documents.
  • Maintain and update the monthly goal board for CSR and PMR performance.
  • Provide stock on hand information to relevant team members upon request.
