What is the job?

The Accounting Associate 1 is responsible for the accurate and efficient processing of all payments received. The role's primary focus is to post payments to the appropriate customers' accounts, ensuring timely and accurate allocation, maintaining clean and up-to-date accounts, which involves reconciling payments, addressing discrepancies, and resolving outstanding issues. The Accounts Receivable Personnel will directly impact our organization's financial health and customer satisfaction.

Responsibilities:

  • Process daily payments, including auto imports, ACH/Wire/Credit Card, and lockbox transactions, ensuring accurate posting and allocation.
  • Balance receivables across 38 branches and reconcile excluded items daily for accurate financial records.
  • Manage AR-Team Outlook inbox, addressing and assisting with payment-related inquiries from credit specialists.
  • Maintain and update Lockbox and Electronic Payment spreadsheets to monitor and track payment activity.
  • Generate payment journals with auditable backup using Adobe Pro to support accurate payment application records.
  • Perform monthly account reconciliations, clearing discrepancies (e.g., COD payments, NET 30 balances) to ensure clean accounts.

Qualifications:

  • 1–2 years of experience in cash posting, AR, collections, or a similar role.
  • Proficient in ERP systems (QuickBooks, Oracle, SAP) and Excel for reporting and analysis.
  • Strong background in customer service, credit/collections, and resolving payment discrepancies.
  • Skilled in maintaining accurate records of collection activities, communications, and metrics.
  • Strong communication (verbal and written), listening, multitasking, and problem-solving skills.
  • Able to work independently and collaboratively, with a focus on process improvements and team efficiency.
