Job Overview

We are seeking a highly organized and detail-oriented Document Controller to support our project documentation processes. You will play a critical role in maintaining and managing accurate, secure, and traceable documentation across project teams, clients, vendors, and stakeholders. This is a vital administrative function supporting quality control, compliance, and information accuracy throughout the project lifecycle.

Key Responsibilities:

  • Administer and maintain the central document control system for all project-related materials.

  • Track, receive, transmit, and archive technical and non-technical documents such as drawings, specifications, and correspondence.

  • Ensure document version control, audit trails, and compliance with project and client requirements.

  • Collaborate with engineers, managers, and external parties to ensure timely updates and distribution of documents.

  • Maintain a robust and efficient filing system and support both digital and hard copy record-keeping.

  • Ensure timely distribution of controlled documentation to internal and external stakeholders.

Qualifications:

  • Bachelor's degree in Business Administration, Office Management, or Project Administration.

  • Minimum 3 years of experience in document control or project administration.

  • Proficient in MS Office Suite (Word, Excel, Outlook, PowerPoint), internet tools, and document scanning.

  • Understanding of Occupational Health and Safety practices.

  • Experience in utilities, construction, or resources industries.

  • Familiarity with company filing systems and document control protocols.

  • High attention to detail with strong organizational and time management skills.

  • Experience using document management systems (e.g., EDMS, SharePoint, Aconex).

  • Knowledge of ISO standards for document control is an advantage.

  • Willing to work in the office full-time at Arcovia City, Brgy. Ugong, Pasig City. (Monday - Friday, 8AM to 5PM)
