Job Description:
We are in search of a detail-oriented and proactive Purchasing Administrative Assistant to support our procurement process for bakery goods manufacturing.
The Purchasing Administrative Assistant is responsible for processing and coordinating procurement activities to ensure the company has the necessary materials and supplies while maintaining optimal inventory levels. A key aspect of the role is proper forecasting of order quantities to avoid overstocking or stockouts. The Purchasing Administrative Assistant works closely with suppliers, internal departments, to ensure efficient procurement practices, accurate forecasting, and timely delivery of materials.
Key Roles and Responsibilities:
1. Forecasting and Inventory Management:
- Analyze historical sales data, seasonal trends, and production schedules to forecast accurate order quantities.
- Collaborate with production and sales teams to determine inventory requirements based on demand.
- Monitor inventory levels regularly to maintain stock sufficiency while minimizing excess inventory.
2. Procurement and Supplier Coordination:
- Source, negotiate, and establish relationships with reliable suppliers for quality materials at the best value.
- Prepare purchase orders and ensure timely approval and placement of orders.
- Follow up with suppliers to confirm order status, delivery schedules, and resolve any issues.
3. Data Analysis and Reporting:
- Use data analytics tools (e.g., Excel, Google Sheets) to track purchasing patterns and identify cost-saving opportunities.
- Provide regular reports on inventory levels, order forecasts, and supplier performance.
- Update and maintain accurate procurement records.
4. Compliance and Documentation:
- Ensure all procurement activities comply with company policies and ethical standards.
- Organize vendor contracts, pricing agreements, and other procurement-related documentation.
5. Process Improvement:
- Identify opportunities to streamline purchasing processes and improve efficiency.
6. Collaboration:
- Work closely with production, sales, and finance teams to align purchasing activities with company goals.
- Assist in resolving discrepancies between purchase orders, deliveries, and invoices.
Perform other administrative duties as as assigned.
Qualifications:
- Bachelor's degree in Accounting , Business Administration, or a related field.
- Background in Accounting is an asset
- 1–2 years of experience in purchasing, procurement, or a similar administrative role.
- Strong analytical skills with a focus on forecasting and inventory management.
- Proficiency in Microsoft Excel and Google Sheets;
- Excellent organizational, communication, and negotiation skills.
- Attention to detail and ability to manage multiple tasks in a fast-paced environment.
This role requires proactive problem-solving and a focus on optimizing inventory levels to support seamless production and business operations.
