POSITION: Travel Technology Administrator
The service of the Travel Technology Administrator is required to support the Travel Unit (CSPC-Travel) in the Corporate Services Department in undertaking the following tasks:
TERMS OF ENGAGEMENT:
Initial engagement of twelve (12) months, renewable annually.
REPORTING ARRANGEMENT:
This position will report to Unit Head, Travel Unit, and designated staff in CSPC-Travel.
Duties and Responsibilities:
• Develop and implement data collection systems and other strategies that optimize statistical efficiency and data quality.
• Enter data from various sources (e.g., paper documents) into a computer system. Maintain data systems and ensure all information is correctly recorded.
• Analyze and validate various documents, ensuring accuracy, proper circulation, and tracking of signatures, and distribution into various application systems.
• Provide technical assistance and guidance to staff in preparing trip itineraries using preferred suppliers. Utilize the Amadeus Global Distribution System for travel arrangements.
• Research client needs and counsel appropriately to ensure itineraries match client needs, corporate policies, and cost guidelines.
• Book international and group travel reservations, calculate fares, and assist with complex ticketing transactions.
• Provide technical support to Concur Requests and Concur Travel Module.
• Guide the ADB Travel Management Companies (TMCs) in following the ADB Business Travel Policy and service expectations. Ensure optimum customer service while complying with corporate travel policy and meeting trip requirements.
• Provide administrative support by handling event logistics for working sessions and team training, responding to incoming calls and emails, and addressing queries promptly.
• Provide back-up support for team members when appropriate and actively support group goals. Actively engage in the rollout of new initiatives.
• Perform other duties as may be assigned by the immediate supervisor and Unit Head, Travel.
COMPETENCIES:
Applicant should have the following qualifications:
• Diploma or bachelor's degree in computer science, information management or relevant field with at least five years' relevant technology support experience, preferably in an international environment.
• Experienced in Excel data analysis skills, including data collection, statistical efficiency, and data quality optimization. Proficient in creating and managing Excel dashboards for data illustration and reporting.
Knowledgeable in Power BI for data visualization and business intelligence. Adept with other MS Office 365 applications, including Word, PowerPoint, Outlook, Teams, and Sharepoint.
• Knowledgeable with the Concur Travel System.
• Knowledgeable with business travel policies and ability to apply them to achieve optimal results.
• Experience and understanding of complex airline tariffs, international airline and hotel pricing patterns and practices including knowledge on major airline and hotel loyalty programs.
• Knowledgeable in advanced geography (to ADB travel destinations), customs, health and security restrictions, weather, visas, and other travel-related information.
• Strong administrative background, highly organized with the ability to prioritize workload and adjust to service needs.
• Ability to effectively prioritize clients' needs while maintaining professional rapport with clients and travel planners.
• Ability to provide guidance to colleagues and work well in a team atmosphere with a positive attitude and problem-solving mindset.
• Strong work ethics and the ability to work well with individuals from different cultural/national background.
• Good organizational, communication, and interpersonal skills.
