We are looking for a Paralegal/Legal Assistant to support the principal immigration lawyer by performing high-level administrative, procedural, drafting, case-management and research tasks. This role will also act as a key liaison point with clients (often overseas or in Australia), interpreters, and external agencies, maintaining clarity, sensitivity, and professional communication.

Must-have Attributes

  • Minimum 2 years' experience as a paralegal or legal assistant (immigration / administrative law experience strongly preferred) in Australian context
  • Solid working knowledge of Australian visa subclasses, AAT processes, and Department of Home Affairs procedures
  • High proficiency in legal software (LEAP, Smokeball or similar)
  • Excellent written English skills, strong attention to detail
  • Excellent organisation, ability to manage multiple matters concurrently
  • High ethical standards, understanding of confidentiality obligations
  • Strong communicator, proactive, responsive, client-oriented

Desirable / Bonus Attributes

  • Diploma / Certificate in Legal Services, Migration Law, or Paralegal Studies
  • Experience working with multicultural / multilingual clients or using interpreters
  • Familiarity with MARA / Migration Agent regulatory structures
  • Experience in applying immigration law in practice

Key Duties

Client Intake & File Opening

  • Field new enquiries (phone/email), perform eligibility screening via checklist
  • Prepare engagement letters, cost agreements, disclosures consistent with Australian legal ethics
  • Gather client identification, visas, academic, relationship evidence, etc., meeting KYC / AML / CTF requirements
  • Open and maintain matter files in practice management system (e.g. LEAP, Actionstep, Smokeball)

Document Preparation & Drafting

  • Prepare visa application forms, sponsorship/nomination forms, statutory declarations, bridging visa requests
  • Draft client letters, submissions to Department of Home Affairs, affidavits, Form 956, etc.
  • Collate and format evidence bundles in correct order, indexing, pagination for ImmiAccount or AAT filings
  • Proofread and cross-check for factual / grammatical accuracy before sending to the lawyer

Case Management & Client Support

  • Maintain a central register of active matters, track critical deadlines (visa expiries, RFIs, responses, hearing dates)
  • Proactively alert clients and the lawyer of upcoming deadlines or missing information
  • Liaise with clients to request missing documents, clarify instructions, manage expectations
  • Assist with AAT review matters: assemble hearing bundles, coordinate interpreters, prepare witness lists

Legal Research & Compliance

  • Conduct research on Australian migration law, departmental policy, relevant case law (via AustLII, LEGENDcom, MARA guides)
  • Monitor regulatory changes and departmental updates; prepare internal summaries or memos
  • Ensure recordkeeping, advice, and documents comply with confidentiality rules and the Privacy Act 1988

Administrative & Practice Support

  • Manage the lawyer's calendar, coordinate appointments, meetings
  • Assist with invoicing, WIP tracking, time entries in the practice system
  • Handle file closures, archiving per retention policies
  • Maintain and update internal precedent templates, checklists, internal resources
  • Occasionally assist with reception, mail handling, office admin tasks

This position is an on-site role at our Pampanga office. Candidates must be willing to work on-site.
