Proposal Specialist

Work Set-up: Hybrid; 3x a week onsite and 2x wfh

Location: One Ayala, Makati

Schedule: 9pm to 6am

Job Summary:

The Proposal Coordinator supports business development by managing proposal workflows, communicating with clients, and maintaining documentation in systems like Dynamics 365, Loopio, and SharePoint. This role ensures timely responses to client inquiries, assists in proposal formatting and editing, tracks deadlines, and facilitates team collaboration to meet submission requirements. Travel to office locations may be required.

Job Responsibilities:

  • Provide consistent customer service to internal and external clients, maintaining a respectful work environment.
  • Interact with operational and business development leads to support proposal efforts.
  • Navigate Dynamics 365 for proposal-related tasks and actions, comprehensively understanding Customer Relationship Management (CRM) functions.
  • Prioritize reviewing and responding to emails as assigned by the Proposals Manager or Director.
  • Notify proposal team members of new opportunities and client updates. 6. Create and maintain SharePoint folders and pages related to assigned opportunities and tasks.
  • Utilize to create and update library entries and complete proposal assignments.
  • Format and edit proposals focusing on completing milestones and meeting deadlines.
  • Record proposal actions, including member assignments, Go/No Go decisions, and meeting highlights andactions.
  • Navigate client portals to retrieve information, communicate with clients, and submit responses.
  • Set and participate in proposal development and team meetings, as assigned.
  • Track client addendums and clarifications, providing updates to internal stakeholders and storing documents in SharePoint.
  • Help complete post-bid assignments for supported opportunities, such as affidavits and registrations.
  • Coordinate actions related to pre-qualifications, registrations, contractor setup, and similar initiatives as assigned.
  • Participate in meetings and initiatives.

Qualifications:

  • 4 years similar experience to the role
  • Background with procurement, proposal, bidding, negotiation, etc.
  • Good communication skills. This role will coordinate many different functions within GIS to help gather the information needed.
  • Experience in customer/client registration.
  • Amenable to work for a hybrid set-up with night shift schedule.
