Job Description
- Provide all-round administrative and clerical support to the management team and cross-departments, catering to their daily operational needs.
- Undertake core administrative tasks including coordinating meeting schedules (e.g., booking meeting rooms, distributing agendas, and taking minutes), arranging business travels (flights, hotels, and ground transportation), and managing team calendars to avoid conflicts.
- Establish and maintain standardized electronic (e.g., cloud document systems) and physical filing systems, ensuring information is categorized properly for quick retrieval.
- Assist in the preparation of formal documents such as business reports, project presentations, and internal memos—including formatting, proofreading, and collating data to meet corporate standards.
- Serve as the primary point of contact for office visitors (both on-site and virtual) and manage incoming phone calls, emails, and inquiries; redirect requests to relevant personnel or resolve simple issues independently.
- Monitor office supply inventory regularly, place orders in a timely manner to prevent stockouts, and track administrative supply expenses to ensure cost-effectiveness.
- Support the execution of ad-hoc projects (e.g., company events, employee onboarding logistics) and complete other administrative tasks assigned by the team.
Qualifications
- Bachelor's degree or above; majors in Administration Management or Human Resource Management are preferred.
- 2-3 years of hands-on experience in an administrative role (e.g., Office Admin, Executive Assistant); experience in a fast-paced corporate or multinational environment is highly preferred.
- Outstanding organizational and time management skills, with the ability to prioritize multiple tasks, meet tight deadlines, and maintain work accuracy under pressure.
- Strong verbal and written communication skills, paired with excellent interpersonal abilities to interact professionally with stakeholders at all levels (colleagues, management, and external partners).
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook); familiarity with office management tools (e.g., document management software, calendar collaboration apps) is a plus.
- Meticulous attention to detail and a strong commitment to delivering high-quality, error-free work in all administrative processes.
- Proven ability to work independently with minimal supervision, as well as collaborate effectively with cross-functional teams to achieve common goals.
- Proactive and resourceful mindset—capable of identifying potential administrative issues, proposing practical solutions, and taking initiative to optimize work efficiency.
