As Finance Staff, you'll support the finance team in various tasks including processing financial transactions, maintaining accurate records, and assisting with financial analysis. Responsibilities include handling petty cash, reconciling accounts, and ensuring compliance with company policies and financial regulations. Strong attention to detail, organizational skills, and proficiency in financial software are essential for success in this role.


QUALIFICATIONS

The following are the qualifications for this position.

  1. Advanced proficiency in common software and tools; Email, Spreadsheets, Word Processor, Presentation software, etc.
  2. Familiarity with accounting and ERP software a plus, but not required.
  3. Bachelor's degree in Finance, Accounting, Business Administration, or other related fields
  4. Strong mathematical skills.
  5. Good understanding of accounting principles, bookkeeping procedures, financial statements, and statistics.
  6. A highly disciplined person possessing great attention to detail and a strong adherence to professionalism and ethics
RESPONSIBILITIES
Efficient Financial Operations
  1. Conduct banking activities as needed.
  2. Monitor, process, and record the company's financial transactions using the company's accounting system.
  3. Conduct financial analysis as requested by using data analysis tools like spreadsheets or data visualization software.
  4. Support the Finance Team in conducting audits of business processes to ensure compliance with company regulations.
Accurate Record Keeping:
  1. Understand and comply with the company's formats, systems, and processes required to keep accurate records.
  2. Regularly update financial records to reflect recent transactions.
  3. Conduct regular audits of financial records to ensure accuracy.
  4. Correct any inaccuracies or discrepancies found in financial records promptly.
  5. Record and reconcile all banking, invoice, payments, and expense transactions completely and accurately in the company's financial records.
Effective Cash Management
  1. Prepare bank deposits, general ledger postings, bills payments, and statements.
  2. Ensure request forms are filled out properly before disbursement.
  3. Manage petty cash disbursements and reconciliations and ensure all expenditures are properly qualified, liquidated, and documented.
  4. Release, track, audit, and encode Service Reports.
  5. Follow up unliquidated budgets and escalate to the Human Resources department, as necessary.
  6. Handle monthly, quarterly, and annual closings.
  7. Coordinate with the bank for any issues or discrepancies in banking transactions.
Effective document management
  1. Scan, label, and tag documents according to the company's naming conventions.
  2. Use the company's file server to organize and file digital documents.
  3. Regularly file physical documents in designated filing cabinets and boxes, ensuring they are easily retrievable.
  4. Implement a document retention policy to ensure unnecessary documents are securely disposed of.
  5. Regularly update the document management system to reflect any changes or updates to documents.
  6. Conduct regular audits of the document management system to ensure all documents are correctly filed.
  7. Coordinate with the MIS department to ensure the security of the document management system.
Compliance
  1. Regularly review and update financial operations and company policies to ensure they are in line with the latest regulations.
  2. Implement company policies related to financial operations and ensure adherence.
  3. Conduct regular audits to check for compliance.
  4. Address any instances of non-compliance promptly and take corrective action.
  5. Prepare necessary documentation for audits.
  6. Implement recommendations from audits to improve compliance.
Support Financial Decisions:
  1. Provide accurate and timely financial information to support company's strategic decisions.
  2. Assist in the preparation of financial forecasts and budgets.
  3. Conduct financial analysis and prepare reports on findings.
  4. Provide financial insights and recommendations based on financial data.
  5. Assist in the evaluation of financial implications of strategic decisions.
  6. Participate in strategic planning meetings and provide financial input.
  7. Coordinate with other departments to gather necessary information for financial decision making.
Process Improvement
  1. Document, maintain, and update the company's Financial Policies Handbook.
  2. Regularly review the financial processes and offer suggestions on how to increase the efficiency of our operations.
  3. Train team members and members of other departments on how to implement or comply with the company's Financial Policies.
