Procurement and Distribution Manager

The Procurement and Distribution Manager is responsible for overseeing the company's purchasing activities to ensure timely, cost-effective, and high-quality procurement of goods and services, manages supplier relationships, negotiates contracts, and ensures compliance with company policies and industry standards. The Manager will also be responsible in overseeing the entire process of getting products from a warehouse to the customer, including managing logistics, warehouse operations, staff, and inventory
Key Duties and ResponsibilitiesProcurement:
· Manage the end-to-end procurement process: purchase requisitions, bidding / supplier evaluation, contract negotiation, purchase orders, delivery scheduling, supplier relationship and performance management.
· Recommend and implement process improvements, procurement policies, and workflows to improve efficiency, accuracy, and compliance ensuring effective on-site execution.
· Maintaining the supplier database, purchase records, and related documentation.
· Monitor stock levels and place orders as needed
· Analyze spend data; identify cost saving opportunities, consolidate suppliers, improve procurement efficiency.
· Controlling the procurement budget and promoting a culture of long-term saving on procurement costs.
· Contribute to the development of procurement policies and workflows to improve efficiency, accuracy, and compliance.
· Negotiate best-value terms and conditions, including pricing, delivery, payment terms, and service levels.
· Draft or review supplier contracts and service agreements, monitor contract execution, compliance, renewals, and terminations.
· Work closely with Finance for payment processing to align procurement timelines with deliverables. Review and validate supplier invoices; coordinate with accounting for accurate and timely payments.
· Coordinate with other departments (e.g., operations, commissary, office) to forecast demand and ensure timely delivery of materials and services.
· Monitor market trends, new products, and supply risks to recommend improvements or alternative sourcing strategies.
· Prepare regular reports on procurement activities, cost savings, and supplier performance for management review.
Distribution:
· Ensure orderly processes are setup and followed in the order-taking process and deliveries/distribution of the daily needs of supported stores and other locations.
· Oversee all warehouse operations, such as receiving, storing, and shipping products. This also includes managing warehouse facilities and layout, and ensuring inventory is stored correctly and safely.
· Monitor stock levels, ensure accuracy of incoming and outgoing shipments, and maintain an economic level of stock on hand to meet demand.
· Plan, coordinate, and monitor the shipping and delivery of goods. This includes managing routes, freight, and vehicle maintenance.
· Arrange staff schedules to ensure sufficient manpower is available at all times for the distribution and warehousing of stocks.
· Introduce industry best-practices in warehousing and distribution activities. Draft policies and procedures for the team.
· Ensure all warehouse and transportation operations comply with safety regulations, such as OSHA, and company policies.
· Negotiate with suppliers and partners, and maintain strong relationships with both suppliers and supported store locations.
Qualifications:
· Bachelor's Degree in Business Administration, Supply Chain Management, Logistics, or any related business administration courses.
· Professional certifications (relevant certifications) is a plus
· Minimum of 5 years of professional experience in procurement or supply chain management
· Proven experience of at least 8-10 years as a Manager managing supply chain and warehousing operations.
· Experience in operational environments such as manufacturing or food industry is preferred.
· Proven track record in supplier management, warehousing management, and distribution strategy execution.
· Strong proficiency in procurement analytics/reporting.
· Strong negotiation and communication skills
· With a strong leadership and people-management skills
· Proficient in Microsoft Office Suite (Word, Excel, Outlook, and Access).Excellent organizational and time-management skills
· Excellent analytical and problem-solving skills.
The successful candidate will manage a team of 10-12 who are responsible in the purchasing, warehousing and distribution activities of the company.
