Job Responsibilities:

A.    Primary Role: Billing Specialist
(Performed daily, weekly, or by request)

  • Generate and prepare reports based on requested data for administrative and client use
  • Ensure that client and project records are kept complete, updated, and organized
  • Perform credit control procedures and follow up with customers on outstanding invoices as required
  • Independently address billing inquiries from customers
  • Perform review of partner billings and invoices; highlight discrepancies and resolve
  • Create and maintain accurate accounting records for A/P and A/R transactions
  • Perform bill processing requests from the AR/AP Team
  • Work with teams in various countries (India, NY, Philippines). Those countries will have a stake in the invoice details and accuracy.
  • Monitor billing mailbox and communication channels (email, Dialpad)
  • Track AR aging and prepare weekly aging status reports
  • Code and process approved bills in and QuickBooks Online
  • Coordinate weekly checkpoints with the team

B.      Secondary Role: 1099 Support
(Performed Annually: 3rd Week of November to 2nd Week of March)

  • Support the 1099 processing cycle under the direction of the lead.
  • Review and monitor the 1099 request tracker daily
  • Send initial and follow-up communications (email, calls, voicemails) collect W-9 forms, and missing data
  • Upload validated W-9 forms to Track1099 and ensure accuracy
  • Maintain clear documentation of communication history and request status
  • Coordinate with assigned Account Associates for exceptions and inquiries
  • Submit daily progress reports and compliance statistics
  • Ensure confidentiality and correct handling of taxpayer information
  • Support final compliance checks prior to submission.

C.
      
Secondary Role: Junior Quality Assurance (QA)
(Performed based on project schedule and workload)

1. Test Planning & Design

  • Understand systems under test and upcoming enhancements
  • Assist in preparing test cases, test data, and defining test coverage strategy.

2. Test Execution

  • Perform structured and exploratory testing as guided by senior QA members.

  • Defect Management

  • Document bugs clearly with accurate reproduction steps

  • Collaborate with developers and QA leads for prompt resolution.

4. Agility & Adaptability

  • Adapt to shifting priorities and support cross-functional or ad hoc tasks as needed, such as but not limited to data validation, documentation, research, or other QA-related activities.

Qualifications:

  • Bachelor's Degree in Accountancy/Business or related courses
  • Experience in
    billing operations, AR/AP, or finance administration
  • Familiarity with billing and accounting platforms such as , QuickBooks Online, or similar systems
  • Strong client communication skills via calls and emails, with proven experience in managing inquiries, follow-through, and driving timely resolutions
  • Agile mindset -
    comfortable shifting between billing, reporting, and ad hoc support tasks based on operational priorities
  • Self-driven and accountable, able to work with minimal supervision while maintaining transparency in progress and challenges
  • Good time management to handle seasonal workload spikes
  • Able to handle sensitive information confidentially
  • Analytical and problem-solving orientation, capable of identifying data gaps, billing discrepancies, or process inefficiencies
  • Amenable to work in mid shift schedule: 
    Mon-Fri, 5:00 PM to 2:00 AM
  • Preferably residing near or in Metro Manila
  • Preferably can start ASAP
